Job Title: Trauma/Limb Restoration Program Coordinator

Job Summary:

This full-time, University Staff (non-classified) position is responsible for high-level operational support to the Trauma Section, including the Section Chief, faculty, and staff within Orthopedics. The Trauma Program Coordinator will be responsible for coordinating section activities and supporting their faculty across all practice sites. This position will communicate, document, and support all Department efforts and in doing so will maintain relationships with various personnel throughout the School of Medicine and Affiliate Hospitals. This role must exercise critical judgement and considerable initiative in administrative management. This position provides cross coverage for other administrative positions as needed.

Key Responsibilities:
  • Works with Regional Manager to implement identified needs for the new program such as faculty recruitment, scheduling, additional certifications, logistics and assist with various projects as needed.
  • Coordinates meeting space needs on and off campus; coordinates events, including selecting and scheduling the venue and food.
  • Manages faculty calendars for academic, clinical, and other meeting coordination by using email/MS Outlook, QGenda and Doodle or other scheduling tools.
  • Process procurement requests, travel arrangements (including international), and reimbursements for providers.
  • Works with Operations Director to implement identified needs for clinical affairs such as faculty recruitment, scheduling, logistics and assist with various projects as needed.
  • Provide high level coordination and analysis on various clinical affairs strategic projects.
  • Manages projects and process improvement activities related to the programs; reports on progress, and ensures deadlines are met.

Work Location:

Hybrid – this role is eligible for a hybrid schedule of 2 days per week on campus and as needed for in-person meetings.

Qualifications:

Minimum Qualifications:
  • A bachelor's degree in business, business administration, finance, accounting, education, social sciences, healthcare administration, public administration, communications, information systems, or a directly related field from an accredited institution.
    • Substitution: A combination of education and related technical/paraprofessional experience may be substituted for the bachelor's degree on a year for year basis, but not for the specific experience.
  • Two (2) years of professional level experience working in an administrative or executive assistant support role for a senior level position (i.e. Director, Chair, etc.).

Applicants must meet minimum qualifications at the time of hire.

Preferred Qualifications:
  • Experience managing projects, adhering to project timelines, and reporting on progress.
  • Experience coordinating travel and related purchasing and expense reimbursements in the Concur system.
  • Experience providing high level administrative/executive and technical assistance to faculty and staff within a higher education and/or medical education environment.
  • Experience in managing multiple schedules.

Master's degree in related field.

Anticipated Pay Range:

The starting salary range (or hiring range) for this position has been established as

$58,793 to $74,784.

The above salary range (or hiring range) represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting. This position may be eligible for overtime compensation, depending on the level.
