Hiring Department: Hunt Institute

Posting End Date: Open until filled.

Hours: up to 40 hours per week, standard Monday- Friday 8:00am- 5:00pm, flexibility is required on evenings and weekends

FLSA status: Exempt

Earliest Start Date: As soon as possible.

Salary: Commensurate with experience.

This position is security-sensitive and subject to Texas Education Code 51.215, which authorizes the employer to obtain criminal history record information. A valid driver's license issued by the State where the applicant resides and insurability as defined in UTS 157 may be required to perform the position's essential functions.



Purpose of Position

Summary

Under minimal supervision, this position provides personal, clerical, administrative, and coordinating services and assistance of moderate complexity, requiring the use of judgment and discretion on a periodic basis for the Hunt Institute and the Executive Director. Keeps official records and executes administrative policies determined by or in conjunction with the Executive Director and other officials. Responsible for the administration of the department's administrative activities as needed and required.

Essential Functions

Maintains records and organizes filing and archive systems to facilitate the expeditious retrieval of information both in paper and digital formats.

Answers and refers telephone calls or other inquiries to ensure accurate and timely communications are facilitated. Communicates with groups and organizations to explain services and to promote cooperation and understanding.

Coordinates various office management functions, including scheduling and preparing staff departmental meetings and the Executive Director's meetings, ordering and monitoring inventory and office supplies, and coordinating facilities requests and mail service activities.

Aids the Institute and Executive Director by acting as a liaison between the department and internal or external entities by answering phone calls, writing and responding to emails, initiating Institute-directed conversations, and engaging in outreach efforts.

Maintains responsibility for general secretarial support functions to the department and ensures efficient utilization of time and workflow.

Establishes goals and objectives; develops and approves schedules, priorities, and standards for achieving goals; and coordinates evaluation activities.

Coordinates the implementation of techniques for evaluating business functions or division or department activities.

Serves as an advocate for the group or program to obtain support for the program(s) both within the department and in the community. May represent the business function, division, or department at meetings, conferences, and seminars or committees.

Coordinates and actions staff and student appointments, facilities work orders, budget transfers, expenditures for personnel, travel, equipment, supplies, software, stipends, tuition and fees, purchasing, procurement, and consultants on sponsored projects; ensures expenditures are in compliance with sponsor and University requirements.

Processes purchase orders for all department expenditures and reimbursements.

Coordinates and assists the Institute with accounts, grants management, budget requests, monitors budget expenditures, and makes adjustments as necessary.

Coordinates the installation and maintenance of accounting records to show receipts and expenditures; reconciles departmental accounts.

Coordinates, plans, and attends special events (workshops, seminars, open houses, etc.) for the Institute.

Identifies areas of needed change within the office, makes recommendations, and executes to improve operations and workflow through facilities, equipment, materials, supplies, and any other areas that are needed for Institutional efficiency and maintenance.

Provides technical guidance for a business function, division, or department.

May coordinate staff development plans, activities, and activities in a business function, division, or department. May coordinate the preparation, development, review, and revision of legislation.

Coordinates the preparation of management and productivity reports and studies. Prepares reports for management.

May coordinate and implement methods and procedures for monitoring work activities, and recommends measures to improve methods, performance, and quality of product or service.

Coordinates, monitors, and evaluates policies and procedures and monitors compliance with policies and procedures. Interprets company policies for workers and enforces safety regulations.

Knowledge of all Microsoft Office software and able to learn and use institutional software systems. Maintains a high degree of confidentiality on all sensitive information this position is privy to.

Complies with all State and University policies.

Occasional traveling required.

Other duties may be assigned.

Qualifications

Required Qualifications:

Education: Bachelor's Degree

and

Experience: Four years of related experience and/or training to the essential duties and responsibilities; or equivalent combination of education and experience
