The College of Arts and Sciences at CU Boulder invites applications for the Program Assistant for Experiential Learning position! This role manages complex administrative processes and systems within the Honors Program, with primary responsibility for the Latin honors thesis process. The role is responsible for high-volume documentation, data tracking, and records management; maintains program systems and workflows; and ensures compliance, accuracy, and consistency across processes. The position also administers Honors subprograms, serves as a front-line resource for students and faculty, and supports coordinated program operations and student experiential learning. What Your Key Responsibilities Will Be
Honors Thesis Management
- Leads all aspects of thesis-related paperwork, documentation, and records, including processing student registrations and faculty defense results documentation
- Communicates with students regarding the thesis process, requirements, deadlines, paperwork, and status updates
- Tracks student GPA eligibility to participate in the thesis process and be awarded Latin honors, including obtaining unofficial transcripts
- Schedules rooms and coordinates logistics for students' General Honors thesis defenses
- Communicates with Honors Council faculty and support staff across A&S regarding Council service, thesis procedures, due dates, events, student support, and documentation
- Maintains thesis systems (Excel spreadsheets, SharePoint, Qualtrics forms, InDesign materials, and tracking tools)
- Processes and tracks financial transactions related to student thesis projects, including stipends, travel, materials, and reimbursements, ensuring accuracy, documentation, and compliance with university policies and procedures
- Prepares materials for Honors Council meetings, including spreadsheets and documentation
- Maintains faculty eligibility lists and processes exception requests
- Ensures integrity, consistency, and compliance of thesis process policies and procedures
- Coordinates with Program Assistant for Operations and Inclusive Programming to order diploma covers, medals, and prepare printed materials for Convocation ceremonies
- Coordinates with CU Scholar Administrator to support Honors thesis publication
- Disseminates results of Latin honors awards to appropriate collaborators, including A&S departments and Registrar's Office
- Guides students to Honors Program offerings that best suit their individual needs and goals
- Provides administrative coordination for Honors subprograms, including the Honors Certificate, Honors Scholars, Honors Journal, and internship course, with responsibilities including student enrollment, data and progress tracking, handling workflows, and record maintenance
- Maintains experiential learning content across Canvas and the program website
- Coordinates with faculty to support student exam accommodations and other special requests
- Supports Program Assistant for Operations and Inclusive Programming with event setup, hosting, and teardown
- Provides support for prospective students and families, including discussing the program and answering questions over email, phone, and in person; scheduling meetings; and checking eligibility status
- Represents the Honors Program at events, including Admitted Students Day and Admitted Buff Days
- Represents the Honors Program in a professional, approachable, and engaging manner
- Serves as primary point of contact through shared inboxes, phone and voicemail, and front desk interactions
- Maintains office and classroom readiness, office organization, and supplies
- Develops and maintains prospective student informational materials and appropriate signage to inspire and inform customers
- Under the guidance of Student Success leadership, provide experiential learning project support as assigned
What You Should Know
- Honors Program staff adhere to the College of Arts & Sciences hybrid work policy, which requires a minimum of three days on campus per week; both the number of on-campus workdays and the specific days on campus may vary based on departmental needs.
- This can be subject to change based on the business needs of the dept./division and align with A&S College policy.
- Some evening and weekend hours will be required to assist with Honors Program and A&S Student Success programming.
- Employee may need to be on campus up to 5 days/week during the initial training period.
What We Can Offer
The annual salary range for this full-time position is $50,000-$54,000.

What We Require
- Bachelor's degree, or equivalent combination of education and experience, may substitute.
- Familiarity with Microsoft Excel.
