Job Summary

The Administrative Assistant for the Office for Leadership Support and Programming supports programmatic and administrative activities for a small team of professionals dedicated to supporting campus environments where everyone matters and all can thrive. Reporting to the Associate Vice Chancellor, duties for this role include but are not limited to scheduling, expense reporting, meeting and program support, managing SharePoint sites and other Office 365 collaboration tools, budgeting, and event planning. The Administrative Assistant will be a critical contributor in a high functioning team with a campus-wide reach and a demonstrated dedication to creating community.

Who We Are

The Office of Leadership Support and Programming is part of the chancellor's office and is charged with:
  • Supporting and advancing the chancellor's priorities.
  • Creating and supporting campus environments where everyone matters and all can thrive.
  • Providing services to campus leaders (e.g., planning, assessment, communications) to help advance the chancellor's priorities.
  • Building capacity in leadership in the areas of access, opportunity, and engagement to address disparate outcomes, myriad experiences and needs.
  • Sponsoring and supporting initiatives needed to build community and create connections for employees.
  • Providing leadership for assessing campus environments and applying data-informed approaches to organizational development.
  • Providing resources (e.g., funding, materials, consultations) for new or existing programs focused on improving campus environments.


What Your Key Responsibilities Will Be

  • Support office-sponsored programs (e.g., grants, events, meetings) and the program managers, with a specific emphasis on direct backend support for community-building groups and programs (e.g., maintaining Sharepoint sub-sites, assisting with group charter and by-laws, and keeping track of affinity group application submissions); assist in compiling and editing reports, arranging meetings and events, supporting communication plans, maintaining SharePoint sites and use of other Microsoft Office 365 collaboration tools.
  • Provide meeting support: calendar scheduling, invitations, logistics, email communications, and management (including in-person and Zoom, reservations and catering) for Associate Vice Chancellor and team meetings; individual calendaring for team members.
  • General project and budget management. Assist in establishing and controlling budgets, maintaining accountability for budget expenditures. Assist executive assistant and use appropriate technology to process, track, and monitor expenses for team.
  • Provide administrative support for special projects.


What You Should Know

  • After the initial training period, this position offers a hybrid work modality with 1 day per week of remote work. On average, work hours align with traditional business hours with occasional evening and weekend needs and the potential for flexibility.


What We Can Offer

  • The annual hiring range for this position is $60,000-$75,000. Relocation assistance is available.

What We Require

  • Bachelor's degree and three (3) or more years of related work experience.
  • A combination of education and experience may substitute on a year-for-year basis.

  • Proven ability as a collaborator and relationship builder. Strong interpersonal skills help build coalitions and working relationships with many groups. This includes senior executives and other constituents to achieve results.
  • Demonstrated dedication to supporting and contributing positively to community environments where all can thrive.
  • Demonstrated skills for administrative support functions; including for example, calendaring, creating and maintaining project timelines, communicating internally by email with individuals and groups, organizing electronic files and artifacts; working independently and in a team.
  • Ability to learn new technologies.
  • Effective knowledge: Advanced proficiency with (or demonstrated capacity to learn) Microsoft Office 365 Suite. Ability to create, manage, and communicate for scheduling and calendaring; balancing needs; and working with a wide range of constituents. A demonstrated dedication to and foundational level of knowledge of the needs of a large and diverse campus, particularly as it pertains to creating and supporting campus environments where every matters and all can thrive. Excellent verbal and written communication skills.
  • Accountability and self-management: Self-management of tasks with supervisor consultation; high degree of personal accountability; excellent organizational skills required. Maintain a high level of effective prioritization, accuracy, attention to detail, and completion of tasks by due dates.
  • Teamwork: Adept at working within a team, collaboratively, as well as independently. Administratively support individuals as well as team activities-working with professional staff and administrative support. Skilled at forging relationships.
  • Communication: Strong writing and editing skills for internal communications. Proofread documents for grammar, spelling, punctuation, and basic formatting. Build effective relationships with campus community members. Show attention to detail and quality work.
  • Innovation and problem solving: Will work with myriad colleagues within the team and across campus to develop solutions for administrative situations; use a high level of skill, discretion, creativity, and judgment to navigate the institution.
  • Commitment to learning: Demonstrated commitment to learning as it pertains to relationship building, and administrative functions and tools (e.g., electronic applications, organizational tools).
