Position Description

The Campus Retail Coordinator supports the daily operations of the university's distributed retail program, which delivers branded merchandise, academic supplies, graduation regalia, course materials pickup, and event-based retail across service desks, vending, pop-ups, and an online store. This coordinator-level role focuses on event coordination, student staff supervision, social media and communications execution, customer service, inventory management, regalia administration, and course materials pickup operations. The coordinator serves as the primary point of contact for the print-on-demand webstore vendor and partners closely with the Director of Campus Retail Services on merchandising, marketing, and financial analysis, contributing on-the-ground insight to strategies the Director owns. The coordinator reports to the Director of Campus Retail Services.

Core Responsibilities

Pop-Up and Event Coordination

  • Coordinate with university partners - Athletics, Alumni Relations, Center for Student Involvement, Housing, Parent & Family Programs, and academic departments - to schedule and execute pop-up retail at major campus events.
  • Handle logistics for each pop-up, including space requests, equipment, mobile POS setup, signage, inventory transport, and post-event breakdown and reconciliation.
  • Maintain an annual events calendar covering move-in, Homecoming, Parents Weekend, game days, commencement, and other recurring campus activations.

Student Staff Scheduling and Training

  • Lead the full student employee lifecycle: recruiting and posting on Handshake, interviewing, hiring, onboarding, scheduling, access, and timecard approvals.
  • Train and supervise student staff on POS operation, customer service standards, event support, and product knowledge, keeping them current as new products or procedures arise.
  • Ensure adequate coverage for service desks, pop-ups, and peak retail periods.

Social Media and Customer Communications

  • Oversee day-to-day social media activity across the program's channels, including content scheduling, posting, and community management.
  • Execute the limited merchandise communication cadence (tease, preview, launch, recap) and course materials pickup communications (term timelines, pickup reminders, program updates) in partnership with university marketing, ensuring brand and messaging consistency across all retail programs.
  • Provide responsive customer service across in-person, phone, email, and social channels, and escalate issues as needed.

Inventory and Regalia Management

  • Plan and conduct regular inventory counts across all retail locations, maintain accurate inventory records, and flag reorder needs to the director.
  • Manage the graduation regalia program end to end, including vendor coordination with Jostens, student and faculty orders, fittings or distribution events, returns, and commencement-week logistics.
  • Support purchase order processing and receiving, and reconcile deliveries against orders.

Course Materials Pickup Operations

  • Oversee the course materials pickup process end to end, including shelf setup and organization, order routing, pickup workflows, and issue resolution.
  • Train student employees on order pickup procedures, customer identification, and handling of common concerns.
  • Serve as an ambassador for the course materials program at tabling events and student-facing activations, representing the program and supporting student awareness.

Webstore and Strategic Coordination

  • Serve as the primary point of contact for the print-on-demand webstore vendor, managing day-to-day communication, product setup, order issues, promotions, and email review.
  • Partner with the Director of Campus Retail Services on merchandising strategy, contributing product performance observations, customer feedback, and event-driven assortment ideas.
  • Support the Director on marketing strategy and financial analysis by providing sales, inventory, and event data, and executing the tactics and communications that result.


Qualifications

  • Customer service experience, preferably in a university, retail, or event-based environment; experience supervising or training staff preferred.
  • Strong organizational and time management skills, with the ability to coordinate multiple events and service channels simultaneously.
  • Clear, professional written and verbal communication skills, including comfort creating and managing social media content.
  • Familiarity with point-of-sale systems (Square preferred), e-commerce platforms, and inventory tracking; comfort learning new customer-facing software.
  • Attention to detail in handling inventory, orders, regalia, and customer records.
  • Availability for extended and off-hours work during move-in, pop-up events, and commencement season.

Compensation at a Glance

Salary Range: $54,000 - $58,000

Seattle University has provided a compensation range that represents its good faith estimate of what the University may pay for the position at the time of posting. The salary offered to the selected candidate will be determined based on factors such as the qualifications of the selected candidate, departmental budget availability, internal salary equity considerations, and available market information, and not based on a candidate's gender or any other protected status.
