POSITION OVERVIEW
Under general direction, performs technical clerical support and customer service functions related to the admissions, enrollment and financial aid processes; provides general information regarding enrollment and registration for credit and non-credit courses and for application for financial aid; accepts and provides preliminary review of student documents; uploads and maintains student records including those related to applications for grants and state and federal financial aid programs; and performs related duties as assigned.
DISTINGUISHING CHARACTERISTICS
An Enrollment Services Specialist I is distinguished from an Enrollment Services Specialist II in that an incumbent in the latter class performs the full range of enrollment services and student support including accepting, reviewing and processing applications, petitions and financial documents, determining eligibility for financial aid and maintaining student data used for admissions, enrollment and financial aid.
Essential Functions
The duties listed below are intended only as illustrations of the various types of work that may be performed. The omission of specific statements of duties does not exclude them from the position if the work is similar, related or a logical assignment to this class.
- Serves as an informational resource to current, returning and prospective students, personnel, faculty, outside agencies and the public regarding student enrollment, admissions, registration, financial aid processing, and access to official records; responds in person, over the phone or electronically; explains eligibility, deadlines and requirements; provides technical assistance and guidance to students in the interpretation, clarification and application of enrollment and registration regulations, guidelines, procedures and policies.
- Creates and maintains a variety of student records; verifies identification, student status and academic progress; prepares, verifies, processes and posts information and documents to various records and student information systems; assists with auditing and reconciling all student supporting documentation to meet retention and audit requirements; maintains and ensures the confidentiality of student documents and records in accordance with the Family Educational Rights and Privacy Act and established District policies and procedures.
- Explains and assists students with understanding and completing financial aid applications and forms; explains deadlines and disbursement dates; refers students to other departments as necessary to obtain required documentation; reviews financial aid documents and applications for completeness and consistency of information and begins processing.
- Identifies duplicate student accounts and requests account mergers.
- Registers and processes student course adds, drops and transfers using student information systems.
- Provides information, instruction and training to student workers on unitwork processes and technical, legal and regulatory requirements.
- Fosters an environment that embraces equity-minded practices, integrity, trust, and respect. Supports, implements, and promotes compliance with the District's Diversity and Equal Employment Opportunity Plan in all aspects of employment and education.

Requirements & Desirables
REQUIREMENTS
Education and Experience:
- Any combination of experience and training that would likely provide the required knowledge and abilities is qualifying. A typical way to obtain the knowledge and abilities would be graduation from high school and some college classes and one year of increasingly responsible experience providing clerical support or complex customer service involving processing enrollment and financial documents; or an equivalent combination of training and experience; and
- Demonstrated sensitivity to and understanding of the diverse academic, socioeconomic, cultural, disability, gender, sexual orientation, and ethnic backgrounds of community college students.
- A bachelor's degree and experience in an Admissions and Records or Financial Aid office.
- A valid California driver's license and the ability to maintain insurability under the District's vehicle insurance program or the ability to utilize an alternative method of transportation when needed to carry out job-related essential functions.
- Bilingual skills in Spanish is desired.
KNOWLEDGE, SKILLS, AND ABILITIES
Knowledge of:
- Departmental operations and the practices, procedures and techniques involved in processing enrollment forms and applications and related student enrollment, registration and financial aid activities.
- Sections of the California Education Code applicable to assigned responsibilities.
- The Family Educational Rights and Privacy Act (FERPA) and other state and federal laws, rules, regulations and policies governing student admissions, records and financial aid.
- Student recordkeeping practices and procedures for processing and reporting student records and financial data.
- Safety policies and safe work practices applicable to the work being performed.
- Understand and be sensitive to and respectful of the diverse academic, socio-economic, ethnic, cultural, disability, religious background and sexual orientation of community college students, faculty and staff.
- Serve as a technical resource to students, personnel, faculty, outside agencies and the public regarding student enrollment, admissions, registration and financial aid.
- Respond calmly, patiently and effectively in-person, by telephone and electronically to a high volume of varying inquiries and requests.
- Analyze situations accurately, exercise sound judgment and adopt effective courses of action.
- Work independently in the absence of supervision.
- Prepare clear, concise and comprehensive spreadsheets, correspondence, reports and other written materials.
- Learn and maintain knowledge of regulations, policies and application requirements for the department.
- Understand, interpret, explain and apply applicable complex rules, regulations, policies and procedures, laws, codes and ordinances.
- Communicate effectively, both orally and in writing.
- Understand and follow written and oral instructions.
- Operate a computer and use standard business software.
- Establish and maintain cooperative and effective working relationships with others.
CONDITIONS OF EMPLOYMENT
Prior to employment, the selected candidate will be required to complete the following:
- In accordance with Federal Law all employees must provide proof of eligibility to work in the United States.
- Criminal Justice/Fingerprint Clearance.
- California Education Code, Section 87408.6 requires persons employed by a community college in an academic or classified position to submit to a TB risk assessment developed by CDPH and CTCA and, if risk factors are present, an examination to determine that he or she is free of infectious TB; initially upon hire and every four years thereafter.
- DISASTER SERVICE WORKERS: All Marin Community College District (MCCD) employees are designated Disaster Service Workers through state and local law (California Government Code Section 3100-3109). Employment with the MCCD requires the affirmation of a loyalty oath to this effect. Employees are required to complete all Disaster Service Worker-related training as assigned, and to return to work as ordered in the event of an emergency. WORKING ENVIRONMENT

Employees work under typical office conditions subject to frequent public contact and interruption and to intermittent exposure to individuals acting in a disagreeable fashion. The employee may be required to travel to locations other than assigned work site, and occasional evening, holiday and/or weekend work may be required in accordance with the collective bargaining agreement.
CLASSIFICATION & RETIREMENT PLAN
Employees in classifications represented by the California School Employees' Association (CSEA) Chapter 196 and are required to comply fully with the CSEA/Marin Community College District (MCCD) Collective Bargaining Agreement. General information regarding rights and responsibilities under the Agreement can be found in the Collective Bargaining Agreements section of our Human Resources site. CSEA employees are also members of the California Public Employees Retirement System (CalPERS), to which the member contributes up to 8% of their reportable compensation on a monthly basis

Availability to work up to two evening shifts per week (11:30 a.m. - 7:30 p.m.) and/or Saturday 9 a.m. - 2 p.m. as assigned.
SALARY INFORMATION
FLSA Status: Non-exempt
Salary Range: CSEA 186
Full Salary Range: $34.14 - $41.50 per hour
Starting Salary Range: $34.14 - $37.64 per hour (Step 1 to 3) Normal entering step is Step 1.

CSEA Full-time Employees:
Medical Insurance: The District offers six plan options through Kaiser and Blue Shield. Effective 10/01/2025, the District's contributions for medical insurance coverage are as follows:
- Employee-only: District covers up to $1,700/month
- Employee plus one dependent: District covers up to $2,400/month
- Employee plus two or more dependents: District covers up to $2,900/month
Vacation Leave - 90 hours of accrual annually, with additional accrual after 3, 10, and 14 years of service.
Paid Holidays - 17 paid holidays annually, which includes a paid winter holiday break at the end of December.
Sick Leave - 7.5 hours per month, 90 hours per year
Retirement through CalPERS - MCCD contributes 27.05% of employee's creditable earnings to CalPERS on a monthly basis (2024/2025). Vested after five (5) years. Mandatory employee contribution for 2024/2025 is 7% - 8%, depending on original date of membership and prior membership status.
Life Insurance - $50,000, with the option to purchase additional voluntary life insurance for the Lesser of 5x base annual salary or $500,000
