The Property Management department requires a Property Clerk II to ensure accurate tracking, control, and compliance with state regulations and audit requirements for university assets. This position is essential to maintaining the integrity of the campus-wide property database, supporting inventory reconciliation, coordinating equipment tagging and disposals, and processing asset transfers and documentation. Incumbents in this classification are assigned the larger and more complex property control units. Incumbents may also be required to register and keep records on all motor vehicles, boats, trailers, and other equipment requiring licenses.
Job Summary:
The Property Management department requires a Property Clerk II to ensure accurate tracking, control, and compliance with state regulations and audit requirements for university assets. This position is essential to maintaining the integrity of the campus-wide property database, supporting inventory reconciliation, coordinating equipment tagging and disposals, and processing asset transfers and documentation. Incumbents in this classification are assigned the larger and more complex property control units. Incumbents may also be required to register and keep records on all motor vehicles, boats, trailers, and other equipment requiring licenses.
Responsibilities:
- Maintains the university property database by updating asset information in PeopleSoft using data from multiple sources.
- Coordinates the campus-wide inventory process, including reconciliation of departmental inventories, asset transfers, surveys, and equipment disposals.
- Processes property survey reports in PeopleSoft.
- Exports asset data from PeopleSoft into MS Excel to classify items and support departmental inventories using handheld scanners.
- Performs monthly asset data loads, mass uploads for newly acquired property, and manual entry of asset information into PeopleSoft as needed.
- Coordinates with faculty and staff to schedule equipment tagging.
- Tags equipment across CSUSB campuses using university-issued asset tags.
- Coordinates the removal of disposed assets with the e-waste vendor.
- Monitors e-waste storage areas and ensures timely removal of retired assets.
- Administers the sale of retired assets through sealed bids or public auctions.
- Coordinates asset donations to departments or external agencies.
- Collects and reports campus-wide copier meter readings to vendors.
- Prepares and distributes asset-related reports and communications.
- Maintains accurate documentation to support audit requirements, including required reports.
- Assists with asset transfers between the State, Foundation, and auxiliaries, including processing Gift Acceptance forms.
- Maintains an updated list of eligible nonprofit organizations and government agencies for asset donations.
- Responds to phone calls and emails regarding asset-related inquiries from departments.
- Provides guidance on university property policies and procedures.
- Maintains a professional, customer-focused approach in all interactions with the campus community.
- Other Classification-Related Duties as assigned
Minimum Qualifications:
- Three years of experience inventorying and maintaining control records for a wide variety of property and equipment or expendable storekeeping items. Prospective applicants who have not had the experience listed may be considered eligible based on other evidence of meeting the above minimum qualifications of the position.

The salary offered will take into account internal equity and experience among other factors.
Initial salary step placement will be Step 3 - $4,145 per month for qualified candidates.
CSU Classification Salary Step Range: $3,984 - $5,804 per month (Step 1 - Step 20)

Academic year schedule: Monday through Friday (8:00 am - 5:00 pm), some evenings/weekends.
Summer schedule: Monday through Thursday (7:00 am - 5:30 pm), some evenings/weekends.

Conditions of Employment
Background Check
Satisfactory completion of a background check (including a criminal records check) is required for employment. CSU will make a conditional offer of employment, which may be rescinded if the background check reveals disqualifying information, and/or it is discovered that the candidate knowingly withheld or falsified information. Failure to satisfactorily complete the background check may affect the continued employment of a current CSU employee who was conditionally offered the position.
Drivers License Check
Possession of a valid Driver's License is required. Employees in this position will be enrolled in the Department of Motor Vehicles (DMV) Government Employer Pull Notice Program which confirms possession of a valid driver's license and reflects driving record.
Physical Exam
Employment is contingent upon candidate passing a pre-employment physical exam with the ability to lift in excess of 50 lbs.
Mandated Reporter
The person holding this position is considered a `mandated reporter' under the California Child Abuse and Neglect Reporting Act and is required to comply with the requirements set forth in CSU Executive Order 1083 as a condition of employment.
