The College of Arts and Sciences at CU Boulder invites applications for the Faculty Affairs Coordinator position! Individuals in this position are skilled experts providing guidance, advice, and direct assistance to internal collaborators, including deans, chairs, directors, department managers, and supervisors, regarding recruitment, hiring, performance management, leave management, and onboarding. Individuals in this position will also network and collaborate with external collaborators, including RIO, Faculty Affairs, Talent Acquisition, the HRSC, and other entities. This position provides consultation and strategic guidance to associated deans, chairs, directors, managers, and staff across the college.
The duties for this position are focused primarily on faculty, and process improvements for the life of temporary, non-TT, and tenure-track/tenured faculty. Who We Are
The College of Arts and Sciences comprises more than 60 departments, programs, and centers; approximately 1300 faculty, and 500 non-faculty employees. The Dean's Office Personnel unit is responsible for assessing and managing the human and organizational needs of the college. This position reports to the college's Director of Faculty Affairs and holds responsibility for the effective administration of personnel policies and the implementation of employment-related procedures, ensuring that the appropriate documentation is completed and that target dates for personnel actions are met.
What Your Key Responsibilities Will Be
Procedural Oversight of Faculty Job Types
- Exercises procedural oversight of Tenured Faculty, Teaching Faculty, Scholar in Residence, Visiting Professors, Temporary Faculty, Clinical Faculty, and Additional Job Appointments- for assigned portfolio
- Create and implement streamlined processes and systems for the transmission of documents for faculty in all aspects of the faculty employee lifecycle
- Maintain updated templates within processing systems.
- Partners with the Director of Faculty Affairs to identify and address process and policy improvements that span academic and administrative units while accounting for the various policy environments that exist within the multi-division model within the College of Arts & Sciences
- Collaborate with the Assistant Dean of People, Engagement, and Culture and the Director of Personnel as requested on policy initiatives, identifying implementation logistics, and ensuring policy proposals are aligned with the College's goals and objectives.
- Serves as administrative support for the recruiting process and point of information regarding campus and university policy, and federal and state law, for deans, college-level administrators, chairs/directors, staff, and faculty accordingly. Communicate procedural changes to collaborators.
- Implements the lifecycle of the recruitment process, from recruitment approval and posting to routing signed documents to Faculty Affairs.
- Advises academic leadership on faculty recruitment strategies
- Ensure that faculty paperwork is filed and maintained per the records retention policy, using OnBase filing systems
- Comprise a list of reappointments due; provide the list to the Director of Operations and Special Projects.
- Serves as a point of information regarding laws and policy at the campus, university, state, and federal levels for departments in your portfolio.
- Support organizational change, ensuring smooth operations/transition/adoption and comprehensive communications outreach.
- Document all policies/procedures and communicate them out, ensuring clear, proactive, accessible, and consistent communications with all collaborators.
- Documents procedures clearly and consistently, and ensures procedures are updated on the college website. Collaborating with the Director of Faculty Affairs to ensure the faculty-specific pages on the CAS website are current and updated each semester.
- Faculty Leave Administration
- Determine the correct leave type and route the requested leave of absence for approvals.
- Run the entirety of the sabbatical cycle for assigned units. Generate eligibility lists; communicate application process to eligible faculty, chairs/directors, and department managers; monitor application process, submission accuracy, route and completion; routes to the central campus for review; and notify faculty and departments of final approval.
- Lead the annual faculty merit cycle for all assigned academic units from preliminary roster and Anaplan prep to uploads of completed rosters and downstream payroll review.
- Ensures alignment with campus policies, A&S guidance, and ensures merit allocations align with approved salary pools and compensation policies.
- Distribute and maintain standardized merit templates and guidance documents for departments and divisional leadership.
- Support ongoing process improvement efforts and provide post-cycle analysis. Producing data-driven recommendations for future cycles.
- Builds and maintains partnerships with collaborators across Academic Affairs, Human Resources, Budget, Student Success, and Institutional Research to drive shared solutions and improve institutional effectiveness for implementation of campus and college-wide priorities.
- Serve as "limited" backup for non-urgent matters when the Director of Faculty Affairs is out of the office.
- Assist with the onboarding of new program managers who provide Faculty Affairs services within departments and units as assigned.
- Partners with the Assistant Dean of People, Engagement and Culture, and the Director of Community Affairs and Engagement to conceptualize and strengthen partnerships with campus partners to enhance employee talent pools.
- Other duties as assigned.
What You Should Know
- Hybrid Schedule: At least 2+ days a week on campus per campus and college policies and guidelines.
- This can be subject to change based on the business needs of the department.
- Standard Business Hours: 8:00 AM - 5:00 PM | Monday - Friday
- Employee may be expected to be on campus Monday-Friday during onboarding, training, and/or professional development events/meetings.
What We Can Offer
This position can offer a salary at the Professional 2 (P2) or Professional 3 (P3) level based on the requirements listed. The annual salary ranges for this full-time position are as follows:
- P2: $58,200 - $62,900
- P3: $67,600
