Job Summary
The regional model for academic advising and career coaching provides a collaborative structure for advisors and career coaches to support students across multiple programs, a commitment to ongoing professional development, and a supportive leadership team dedicated to student success. This model also supports consistency, quality, and integration of academic advising and career coaching within each region and across the campus. There are three regions, each led by a Senior Director. This Manager, Administration will directly support the three Senior Directors and the operations of the regional model in general.
Under minimal supervision, this position is responsible for planning, organizing, directing, and controlling all aspects of the region's internal and external customer service, staffing, and financial management operations. Acts as a catalyst between the regions and their leadership and staff to ensure continuity and quality of service and care.
Responsibilities
1. Forecasts, develops, and implements policies and procedures in the areas of student service, staff management, and budgetary goals and objectives that are consistent with the University of Utah's policies.
2. Facilitates cooperative and collaborative community and institutional relationships.
3. Ensures staff and student satisfaction by analyzing complaints, concerns, and suggestions and providing appropriate follow-through.
4. Develops departmental strategies consistent with the assigned department's continuous quality improvement program.
5. Ensures competency of staff through the development and/or presentation of educational programs and through ongoing staff performance evaluations.
6. Provides administrative support by scheduling appointments, coordinating meetings and conferences, managing events, seminars, and workshops, arranging travel, preparing reimbursements, and maintaining and ordering office supplies.
7. Track deadlines and remind regional administration and staff of important events and deadlines.
8. Other duties as assigned.
Problem Solving
Often selects from a predetermined list of alternatives and sometimes recommends changes in procedure based upon the amount of discretion given by Senior Directors. Problems would be referred to the appropriate Senior Director based upon predetermined guidelines set by the department.
Minimum Qualifications
Bachelor's degree in a related area or equivalency (one year of education can be substituted for two years of related work experience). Four to six years of progressively more responsible management experience. Background knowledge of hiring department's area of specialization in order to analyze, plan and draw conclusions for recommendations to superiors. Demonstrated leadership skills in planning and directing employees and processes in order to effectively monitor and develop subordinates and to ensure the smooth operation of department.
Completion of provided supervisory training within one year of employment may be required.
Master's degree in a related area may be preferred.
