Job Summary:

The Human Resources Professional, housed within the School of Medicine's Office of Medical Education (OME), will provide recruiting, onboarding, and coordinate processes related to staff and students for programs within the Office of Medical Education. The HR Professional will work closely with faculty, staff, and students across the office. The OME HR Professional has broad human resource support responsibilities, which includes communicating with HR teams across the school of medicine for the smooth recruiting, hiring, onboarding, termination and tracking of staff and students. This role is well positioned to learn and grow in the Office of Medical Education and with the business services team.

Key Responsibilities:

OME Staff Administration - 30%
  • Input and track all OME staff appointments and maintain data throughout the calendar year.
  • Draft job descriptions, partner across OME faculty and staff leadership and recruit approved positions as required.
  • Guide and train end users throughout the recruitment cycle and how to effectively manage the administration of the recruitment, and answer questions from hiring managers throughout the recruitment life cycle.
  • Set up shared workspaces for active recruitments and to report upon open positions throughout the recruitment life cycle.
  • Submit all search and hire data, staff appointment changes, and related activities to HR-Shared Services. Ensure smooth ongoing communication and shared repositories for tracking outstanding activities.
  • Coordinate onboarding activities for staff, including collecting welcome information for first day virtual introductions, setting up nameplates for office and workspace locations, manage site-permissions and distribution listings, ensuring badge applications are submitted and org charts are updated and maintained.
  • Maintain all documentation of staff personnel records in accordance with the university's record retention policy.

OME Student Appointment Administration - 30%
  • Under the supervision of the HR Program Manager, hire and appoint new graduate students on an annual basis. Ensure all data is collected and submitted to required teams on time and accurately.
  • Craft job descriptions and submit to HR-Shared Services to hire student workers including but not limited to proctors, tutors and other roles across the Office of Medical Education.
  • Collaborate closely with curriculum coordinators to hire and pay research track students who are in special course work in which they receive a stipend twice during their academic career. Ensure their stipend is paid on schedule and the appointment is terminated by required due dates.

Human Resources Operating Support - 20%
  • Review and upload monthly staff and bi-weekly student and staff timecards into HCM by stated deadlines.
  • Process badge applications for staff, residents, fellows and student appointments. Act as backup for faculty badging requests as required.
  • Maintain OME staff organizational charts using Visio software.
  • Provide input into and serve on the community engagement and professional development task force.
  • Provide support to the graduate medical education resident and fellow population on related human resources processes and as assigned by the HR Program Manager.

System and Data Tracking - 15%
  • Learn and efficiently navigate the university's human resource capital management (HCM) system.
  • Input and lookup data in HCM and as requested.
  • Track all student and staff appointments and ensure the data is able to effectively be reported upon by the business services team.
  • Work across the school and OME business services team on data improvement projects related to tracking and reporting upon staff and student appointments.

Other Duties as Assigned - 5%
  • Complete ad hoc projects or tasks, as requested. Attend professional development opportunities throughout the year.



Work Location:

Hybrid - this role is eligible for a hybrid schedule of 3 days per week on campus and as needed for in-person meetings.

Qualifications:

Minimum Qualifications:
  • A bachelor's degree in human resources, business administration, public administration, public policy, higher education administration, social sciences, behavioral sciences or a related field from an accredited institution.
  • A combination of education and related technical/military/paraprofessional experience may be substituted for a bachelor's degree on a year for year basis.
  • One year of experience in human resources, talent acquisition or related role.

Applicants must meet minimum qualifications at the time of hire.

Preferred Qualifications:
  • Experience working in higher education, medical education or a healthcare environment.
  • Prior experience in human resources including talent acquisition or generalist roles.


Knowledge, Skills and Abilities:
  • Ability to analyze, interpret, and evaluate information to make sound decisions.
  • Ability to communicate effectively, both in writing and orally, including public speaking.
  • Ability to establish and maintain effective working relationships with employees at all levels throughout the institution.
  • Ability to learn new software systems and tools.
  • Ability to work on a team and with diverse populations.
  • Ability in writing, editing or formatting documents using Microsoft Word.
  • Skilled in Microsoft Excel.

Anticipated Pay Range:

The starting salary range (or hiring range) for this position has been established as $47,515 - $60,439.

The above salary range (or hiring range) represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting. This position may be eligible for overtime compensation, depending on the level.
