Job Summary
The Office of Student Experience is seeking candidates who are excited to help build and grow our dynamic department. We seek candidates with event coordination experience who understand how to build and maintain relationships through clear communication, collaboration, and partnership. The Event Coordinator will work across campus to develop and execute events of varying sizes and complexities.
We are a fast moving, dynamic department and are looking for someone who relishes new challenges, is eager to problem-solve, and work both collaboratively and independently.
This is a physically demanding job requiring lifting, walking, and setting up events (tables, chairs, materials, decor, etc).
Candidates should meet the minimum qualifications of Planner 1 as described below
Responsibilities
- Coordinate events of various sizes, from under one hundred to thousands of participants. This includes; determining event goals, budgeting, decor, 3rd party vendor coordination, registration, marketing, staffing, set/strike, etc.
- Work within budget and fiscal guidelines.
- Interface with our students and their families via email, in person and phone.
- Coordinate and staff tabling events to represent our department.
- Maintain event records and post-event reporting documents for future use.
- Juggle multiple events concurrently.
- Maintain, develop or deepen existing campus partner and vendor relationships.
- Ability to stay organized in a fast-paced, dynamic environment
- Maintain pro-active and timely communication with all event stakeholders.
Minimum Qualifications
EQUIVALENCY STATEMENT: 1 year of higher education can be substituted for 1 year of directly related work experience (Example: bachelor's degree = 4 years of directly related work experience).
Department may hire employee at one of the following job levels:
Live Event / Trade Show Planner, I: Requires a bachelor's (or equivalency) + 2 years of directly related work experience or a master's (or equivalency) degree. Live Event / Trade Show Planner, II: Requires a bachelor's (or equivalency) + 4 years or a master's (or equivalency) + 2 years of directly related work experience. Live Event / Trade Show Planner, III: Requires a bachelor's (or equivalency) + 6 years or a master's (or equivalency) + 4 years of directly related work experience. Live Event / Trade Show Planner, IV: Requires a bachelor's (or equivalency) + 8 years or a master's (or equivalency) + 6 years of directly related work experience.
Live Event / Trade Show Planner, V: Requires a bachelor's (or equivalency) + 10 years or a master's (or equivalency) + 8 years of directly related work experience.
Live Event / Trade Show Planner, VI: Requires a bachelor's (or equivalency) + 12 years or a master's (or equivalency) + 10 years of directly related work experience.
Live Event / Trade Show Planner, VII: Requires a bachelor's (or equivalency) + 14 years or a master's (or equivalency) + 12 years of directly related work experience.
Preferences
- Experience with social media content creation and editing a plus.
- Experience in Asana / Monday, Canva / Adobe a plus.
- Demonstrated event coordination experience highly preferred.
- Strong interpersonal and communication skills highly preferred.
- Demonstrated work in a collaborative, high paced environment.
