Position Announcement

Utah Valley University is seeking a detail-oriented and collaborative professional to join our Institutional Advancement team as Coordinator I - Donor Stewardship and Reporting. This pivotal role supports the management of private annual and endowed scholarships by overseeing donor reporting, fund reconciliation, and student stewardship initiatives. Working closely with Financial Aid, Foundation Accounting, and other campus partners, the Coordinator ensures timely, accurate communication with donors and effective scholarship fund administration. Summary of Responsibilities


  • Scholarship Administration and Reporting Oversees daily operations for annual and endowed scholarship funds, prepares and submits donor and fund reports on schedule (August, December, March), and coordinates with internal stakeholders to gather timely and accurate data for reporting purposes. Reviews fund activity monthly to verify appropriate spending and scholarship disbursement. Collaborates with Accounting and Financial Aid to resolve discrepancies or dormant fund issues. Tracks new gift agreements and fund transfers. Communicates regularly with campus partners to ensure that all donor-funded awards are awarded accurately and in a timely manner.
  • Student Stewardship and Communication Leads efforts to collect, edit, and track student thank-you notes and biographies, engages scholarship recipients in donor stewardship programs and events, and collaborates with Institutional Advancement Marketing to identify students for storytelling campaigns. Coordinates collection of student thank-you messages through ScholarshipUniverse. Tracks response rates from student recipients. Prepares student participation lists and communicates event details (e.g., Donor Appreciation Week, scholarship luncheons). Provides on-site coordination and support to students during donor engagement events. Collaborates with IA Marketing & Communications to develop messaging and student spotlights.
  • Financial Aid and Fund Management Collaboration Submits monthly allocation reports and verifies the accuracy of new donations, partners with Financial Aid and Institutional Advancement Accounting to resolve fund-related issues, and monitors endowment growth to ensure allocations align with institutional policy and donor intent.
  • Program Support and Analysis Contributes to the evaluation of scholarship criteria and recipient outcomes, uses data to inform recommendations for program enhancements, and supports pilot programs and scholarship-related projects. Also coordinates meetings, maintains records, and serves as a primary point of contact for scholarship-related communications with internal stakeholders, students, and donors.
  • Performs other job-related duties, as assigned.


Qualifications / Licenses / Certifications

Graduation from an accredited institution with a bachelor's degree in a related discipline or a combination of education and experience totaling four years.

Preferred Qualifications:

  • Three to five years of experience in scholarship administration, donor relations, financial aid, or nonprofit fund management.
  • Experience working in a higher education or foundation setting.
  • Advanced proficiency with scholarship management platforms (e.g., Scholarship Universe, AcademicWorks).
  • Experience with financial systems and donor databases (e.g., Banner, Raiser's Edge, Workday).
  • Experience writing donor reports, impact statements, and student profiles.
  • Ability to communicate complex financial and scholarship information clearly to diverse audiences.
  • High emotional intelligence and political acumen in navigating institutional priorities.
