Job Description Summary
The Development Coordinator is a vital part of the Development and Alumni Relations Team at the Penn Museum. Reporting to the Senior Director of Development and Alumni Relations (SDOD) and supporting the Department overall, the Development Coordinator provides critical project administrative and operations support which allows the Department to function smoothly and effectively. As the person overseeing the CRM system, donor follow-up and stewardship, record-keeping, travel and budget for the SDOD, and donor and volunteer correspondence in support of the team, the Development Coordinator ensures that the SDOD is supported and that the team's priorities are understood and effectively implemented.
Job Description
Job Responsibilities
- Assist the SDOD with preparation of Board of Advisors meetings and activities, presentations, coordinate the preparation of materials, maintain Board book, send out Board meeting notes, and any other required preparation and follow-up.
- Support the SDOD in monitoring the department expense budget and revenue goals and providing periodic reporting in liaison with the Business Office team.
- Support the SDOD and Gift Officers by creating new gift/endowment funds, preparing for major gift pipeline meetings and overseeing agendas, and reviewing CRM dashboards regularly; coordinating with the SDOD, Gift Officers, and Development Writer to ensure that acknowledgments are sent in an accurate and timely manner; liaise with University DAR Research and Gifts Officers as needed.
- Maintain the CRM system: ensure records are updated and accurate with current giving data, contact information, activities and events, reassignment of prospect managers, entering prospect/donor reports; fulfilling requests for research, queries, and reports.
- Support the Williams Director, SDOD and Gift Officers for solicitation visits and events by preparing briefing information, fundraising materials, and supporting with follow-up.
- Provide Operations and Administrative support to the SDOD, including calendar management, preparing briefing materials and agendas, arranging travel, and supporting logistics for internal events.
- Work in coordination with the Assistant to the Williams Director to manage appointments on both the Wiliams Director's and SDOD calendars to ensure alignment and strategic donor/prospect cultivation, stewardship, and follow-up.
- Assist and support the SDOD, the Assistant Director of Events, and Gift Officers with all aspects of Donor Engagement events, including generating prospect lists with information about giving potential and other Penn and philanthropic involvement, responding to inquiries, managing event registration, and other duties as needed.
- Responsible for the onboarding of new staff and providing general administrative support to the Development Team: overseeing office supplies and other needs, assisting with registration for training, and other duties as needed.
- Performs additional duties as assigned.

- High School Grad/GE Degree, and 5 to 7 years of experience or equivalent combination of education and experience is required.
