Job Description:
Student Records and Data at Madison College is seeking an Enrollment Services Records Coordinator to be responsible for managing Records-related processes as assigned and directed by the supervisor. Responsibilities of this position include National Student Clearinghouse reporting, Post Enrollment Requirement Check processing, reviewing tuition appeals, reviewing identity verification materials, and may also involve independently supporting other units within Enrollment Services. The role requires the ability to analyze, troubleshoot, test, and resolve complex or escalated issues within Student Records.
The Enrollment Services Records Coordinator reports to the Deputy Registrar within Enrollment Services.
This is a full time, 52-week position with standard business hours of Monday through Friday, 8:00am - 4:30pm, with flexibility to adjust working hours between core hours of 7am-6pm with supervisor approval. Work is primarily performed on-site at the Truax Campus, with the potential for a hybrid work schedule (up to two days remote per week) after successful completion of a three-month training period. Remote work options are subject to change per Madison College policy.

Accountabilities:
- Manages assigned record processes, including set-up and maintenance. Ensures accurate and timely processing. Troubleshoots, resolves, and/or escalates process errors within the SIS system appropriately.
- Serves as a key member of the Madison College identify theft prevention program. Analyzes multiple data points leveraging identity theft software and internal reports to identify fraud patterns and investigates to deter fraudulent/suspicious activities.
- Works independently to understand, assess, and respond to complaints, inquiries, and escalations received by the Records team regarding processes, system setup, student records, tuition refunds, and general policies and procedures.
- Coordinates and manages student record retention by compiling, maintaining, processing, storing and/or disposing of student educational records in compliance with college policy and procedures, as well as local, state and federal requirements.
Knowledge, Skills & Abilities:
- Skill in communicating effectively and professionally, both orally and in writing.
- Demonstrated skill in communications and human relations with populations of diverse socioeconomic and cultural backgrounds and persons with disabilities.
- Basic knowledge of computer operation.
- Ability to organize workflows independently and use time management skills to meet deadlines.
- Strong attention to detail.
- Proficient in Microsoft Suite including Word, Excel, and PowerPoint.
- Requires ability to work on-site, regular business hours.
Minimum Requirements:
- Associate's Degree or equivalent working experience. *Experience used as an equivalent of an educational requirement is in addition to any experience required by the position.
- 1-3 years of relevant work experience
