What We're Looking For
Baylor University is seeking an Administrative Associate to support the mission and vision of the University within the Division of Marketing and Communication by serving as the first point of contact for the Division, supporting the team with a wide range of administrative and customer service responsibilities. The role includes greeting visitors, managing phone and email communications, scheduling appointments, maintaining office supplies, and assisting with day-to-day operations that advance the priorities of the University. This position provides support to Institutional Events and the Office of the Vice President by coordinating internal logistics, managing facility needs, and assisting with general administrative tasks as needed.
A High School Diploma is required. A Bachelor's Degree and three years of relevant work experience is preferred.
Applicants must currently be authorized to work in the United States on a Full-Time basis.
What You Will Do
- Serves as the primary receptionist and first point of contact for office visitors, providing a welcoming and professional presence
- Answers and directs phone calls, shares event-related information on behalf of the Institutional Events office, manages incoming and outgoing mailings, and maintains inventory of office supplies and equipment to ensure smooth daily operations
- Provides administrative support to the Senior Director and the Logistics & Events Specialist by coordinating operational and scheduling tasks for various events, including McMullen Faculty Center reservations, UIL competitions, Summer Programs, and other university-sponsored activities
- Assists with the training and supervision of student workers, including being a delate on timesheets and coordinating with the Student Financial Aid Office to ensure eligibility compliance
- Oversees the creation, distribution, and maintenance of student work schedules and leave requests, and coordinates related meetings and communications
- Coordinates with the Physical Plant to submit, monitor, and follow up on work orders related to event setup and the maintenance needs of Institutional Events facilities, ensuring timely and efficient resolution of all service requests
- Perform all other duties as assigned to support Baylor's mission
- Ability to comply with university policies
- Maintain regular and punctual attendance
