Position Description
This is a temporary professional expert position and continuation of employment is contingent upon availability of funds and approval by the Governing Board.
The Ombudsperson supports District efforts to offer a neutral, informal, and supportive space for managers, faculty, and staff to discuss and find solutions for workplace issues and concerns not requiring the involvement of Human Resources or Campus Police. The focus shall also include promoting improved campus climate, outreach and education, workplace trend reporting, and attention to intercultural dynamics that impact communication, belonging, and thriving. The Ombudsperson will report directly to the District Superintendent/President.
Responsibilities
- Helps individuals clarify their concerns, identify possible solutions, and explore options for resolving issues.
- Facilitates informal conflict resolution, coaching individuals on effective communication, and mediating disputes for the purpose of ensuring efficient resolution of issues.
- Identifies systemic patterns and issues that contribute to conflicts or concerns for the purpose of making recommendations for institutional improvements.
- Listens to individuals' concerns with confidentiality and impartiality, to the extent allowed by law, for the purpose of ensuring all parties are heard and considered.
- Maintains a variety of confidential and non-confidential material and electronic records for internal use and/or distribution as appropriate.
- Prepares a wide variety of materials (e.g. quantity reports, correspondence, audits, etc.) for the purpose of documenting activities, providing written reference, and/or conveying information.
- Educates the campus community about the role of the Ombuds and develops and delivers training on conflict resolution, communication skills, and other related topics to gain feedback and ensure adherence to policies, procedures, and laws.
- Provides information on District policies and procedures, and directs individuals to a variety of appropriate resources (e.g. Human Resources, Employee Assistance Program, Campus Police, Academic Senate, Classified Senate, Classified Schools Employees Association (CSEA),Chaffey College Faculty Association (CCFA), and campus committees etc.) to ensure appropriate parties are informed and involved in resolution, when needed.
- Researches workplace trends for the purpose of evaluating the effectiveness of the Ombuds office.
- Supervises assigned program effectively by monitoring performance, providing for professional growth and achieving overall objectives.
- Performs other related duties as assigned for the purpose of ensuring the efficient and effective functioning of the department.
Qualifications
MINIMUM QUALIFICATIONS
- Masters degree in job-related area with an emphasis in Conflict Management/Resolution, Organizational Behavior, Social Work, Human Resources Management, Psychology Counseling, or a related field, and three years of related experience; or an equivalent combination of education and experience, preferably in a community college setting.
- Knowledge of:
- Current practices in effective communication, team building, and organizational behavior.
- Conflict resolution and problem-solving methodology.
- Regulations specific to community colleges, including relevant Title IX sections, and relevant Education Code and corresponding Title 5 Regulations.
- Ability to:
- Evaluate needs, present recommendations, and make oral and written presentations.
- Communicate effectively both orally and in writing.
- Establish and maintain cooperative working relationships with students, faculty, staff, and others contacted in the course of performing assigned duties.
- Provide effective mediation or conflict resolution services, conduct research and develop research-informed recommendations, evaluate organizational practices, and conduct training or professional development activities.
- Demonstrated evidence of sensitivity to and understanding of the diverse academic, socioeconomic, cultural, disability, gender identity, sexual orientation, and ethnic backgrounds in a community college environment.

SPECIAL CONDITIONS
Evening and weekend hours are required. Positions in this classification may be required to work varied hours according to need.
CONDITIONS OF EMPLOYMENT
This is a 12-month, full-time temporary professional expert position. Continued employment is contingent upon approval of the Chaffey College Governing Board. The monthly salary is $11,800. Effective date of employment will be as soon as a successful candidate is selected and a mutually agreed upon date is determined.

Being able and ready to work onsite at a Chaffey facility or location is an essential function of this job. Being able and ready to work in-person with Chaffey students, Chaffey employees, or other members of the Chaffey community/Chaffey partners/Chaffey contractors is an essential function of this job.
