Job Description Summary
The Program Coordinator will support administering the nation's premier cohort-based Executive Doctorate in Higher Education Management program. This executive program in higher education management brings together cohorts of senior leaders from higher education, government, nonprofit organizations, and the private sector to study with a world-renowned faculty - all without career interruption. The program provides a structured and systematic approach to the curriculum and dissertation, enabling students to complete their work and earn their degree within two years.

The Program Coordinator will also support the 12-month, fully online Master's in Global Higher Education Management program. This program is designed for the working professional with a mix of asynchronous and required synchronous sessions, allowing students to work independently and in collaboration across countries, continents, and time zones.

The Program Coordinator will manage the day-to-day program operations of both programs, ensuring a high-quality academic experience for students and seamless coordination with faculty, alumni, staff, and external stakeholders. Additionally, the Program Coordinator will manage operational systems and will support admissions and enrollment activities, including communications, recruitment, and applicant management. This role will report to both the Associate Director of the Executive Doctorate and the Director of the Global Higher Education Management programs.

Some pre-determined evenings and weekends will be required. Some travel will be required.

Job Description

Executive Doctorate in Higher Education Management Program Operations:
  • Manage the day-to-day logistics of the program; Serve as the initial point of contact for all students and addressing concerns as needed; Provide basic advising on coursework; Manage the execution of monthly cohort weekends, six-day summer orientation session, and the international class trip.
  • Serve as an academic advisor for 1-2 cohorts
  • Coordinate dissertation proposal hearings and final dissertation defenses
  • Serve as liaison to the Alumni Advisory Board by coordinating four meetings per year
  • Collaborate with the Office of Student Success and the Director of Academic Affairs on student concerns.


Global Higher Education Management Program Operations:
  • Manage the day-to-day logistics of the program; Serve as the initial point of contact for all students and address concerns as needed; Building the Canvas sites for faculty each semester; Train students & faculty on Canvas as needed; Manage the execution of monthly cohort weekends; Manage orientation sessions and community building activities.
  • Serve as an academic advisor to the cohort
  • Collaborate with the Office of Student Success on student concerns.


Faculty Support: Build Canvas sites for faculty each semester; Provide timely support to full- and part-time faculty within both programs, including assisting with questions regarding course logistics, course materials, and cohort weekends.

Recruitment & Admissions: Assist in recruitment & marketing efforts for GHEM, including hosting information sessions; Assist in advising prospective applicants; Liaise with Admissions; Work with both programs to update program websites and social media content.

Financial Administration: Process purchases, reimbursements, and travel; Execute teaching agreements; Draft and submit funder reports; Assist in managing the budgets; Collaborate with the Business Office and Payroll.

Penn AHEAD: Provide administrative support to Penn AHEAD activities and workshops, including building surveys and organizing travel.

QUALIFICATIONS

ESSENTIAL:
  • A Bachelor's degree and 3-5 years of experience, or equivalent combination of education and experience.
  • Proven problem-solving and project management skills.
  • Proven record of supporting student learners and facilitating communications with instructors and faculty.
  • Working knowledge of instructional technology and tech platforms, as well as updating websites.
  • Proven track record as contributor, collaborator, and self-starter.
  • Effective written and oral communication skills, particularly with international students and stakeholders.


PREFERRED:
  • A Master's degree is preferred.
  • Experience in online education.
  • Experience with financial management.


Expected Salary: $55,000
