Job SummaryThe Advancement Coordinator provides high-level administrative and coordination support to the Vice President, Associate Vice President and the Principal Giving Team in the execution of strategic fundraising initiatives. This includes the day to day management of activities related to donor engagement strategies, stewardship planning and execution, prospect strategy, and team operations in support of a growing portfolio of top philanthropic partners. The Coordinator will report to the Principal Gift Associate to carry out tailored donor communications, meeting scheduling, high-touch experiences, and briefings for senior leadership and campaign co-chairs. Given the sensitive and high-profile nature of principal and major gift fundraising, this position requires the utmost discretion, independent judgment, and professionalism. Major Areas of Responsibility
Serve as the central point of contact for the Principal Giving Team, supporting communication collaboration across internal and external partners, including other frontline fundraising team members, donors, trustees, high-level campaign volunteers, and senior college leadership.
Coordinate and manage complex calendars for the Vice President, Associate Vice President and Principal Gift Officers, including scheduling internal strategy sessions and external donor meetings.
Arrange and manage logistics for donor travel and engagements, including itinerary management, materials preparation, accommodation coordination, and travel reconciliation.
Facilitate the donor briefing process for executive leadership and principal gift travel-this includes compiling and editing detailed research, event briefings, speaking notes, and organizational materials in collaboration with the prospect research team.
Support the planning and execution of exclusive donor events and experiences, including logistics management and cross-team support with Advancement Operations, Donor Relations, and Events.
Coordinate stewardship efforts for principal-level donors, working with Donor Relations to ensure timely, tailored stewardship reports, recognition touchpoints, and delivery of donor promises.
Help maintain and update high-level donor profiles, contact reports and communications within the CRM database and other tracking systems.
Track and organize campaign engagement with principal gift prospects and volunteers, including external consultants and campaign cabinet activity as needed.Complete assigned special projects and execute additional responsibilities as directed by the Vice President, Associate Vice President and other team leaders in Individual Giving. Minimum Qualifications
Bachelor's Degree preferred or 3+ years of relevant experience
Minimum of at least 3 years of post-college experience, preferably in an educational/business environment, development setting or equivalent
Expert computer proficiency in these areas: Windows, Internet Explorer/Safari/Google Chrome and Microsoft Office including Excel, Word and PowerPoint
Experience in event planning and board management preferred
Proficient in the principles and methods of business correspondence and report preparation
Proficient editing and proofing capacity
Experience in calendar management/ scheduling complex meetings and events
Proficient in advanced record keeping methods
General understanding of methods of budget preparation and financial record keeping
Strong deductive reasoning skills
Experience as an independent self-starter
