The program manager position will be responsible for managing multiple projects, and developing or modifying processes as needed, under the goal of strategic internationalization and providing administrative support to the Associate Vice Chancellor of International Affairs. Projects and activities typically include the organization and management of the international agreement process, data reporting, the student and scholar Fulbright Program (outbound), international delegations, and international alumni engagement and events. This position will also support OIA committees and engage in budget management, event planning, and a variety of other administrative projects. Additional responsibilities include high level management and oversight of fiscal and office operations for OIA and the AVC, scheduling, taking minutes, recording action items, translating action items into projects, determining the appropriate participants, and managing those projects to completion. The program manager will exercise strong initiative, independent decision making, proactive problem-solving, strong organizational skills, attention to detail, discretion with sensitive information, and strong interpersonal communication skills. It is imperative that the program manager possess a balanced combination of project management skills and administration skills. This position is located in the Office of International Affairs, Downtown Denver Campus.

International Affairs Program Manager

External Relations Development and Management (70%):

International Agreements:

  • Strategically manage international agreements on behalf of CU Denver | Anschutz. This includes oversight of drafting and routing processes, oversight and improvement of the international agreement database, communication with stakeholders and timely reporting on international agreements for CU Denver | Anschutz. Support operationalization of partnerships as needed. Responsibilities include:

    • Processes - Overseeing and modifying the processes required from drafting agreements to final execution

      • Drafting initial agreements according to established protocols

      • Organizing and facilitating the MOU working sessions with OIA colleagues

      • Ensuring the appropriate routing for documents review and approvals

      • Liaising with colleagues in schools/colleges/legal regarding necessary adjustments to agreements

      • Crafting memos and routing forms for review and approval

      • Problem-solving for ad hoc challenges

      • Liaising with external partners as needed

      • Document formatting, editing and proofreading

      • Maintaining updated templates for international agreement documents

      • Distributing completed documents

      • Organizing and reporting finalized agreements

      • Reporting

  • Provide quarterly reporting on international agreements by campus broken down by school and college which includes opportunities to leverage for greater outcomes.

  • Provide updates on international agreements as needed or requested by internal and external partners

Fulbright Program Advisor:

Serve as one of the university's Fulbright Program Advisors, including:

  • Developing effective relationships with the U.S. State Department and the Institute of International Education.

  • Advising CU Denver | Anschutz students on the application process.

  • Maintaining and updating CU Denver | Anschutz Fulbright program website.

  • Managing the Fulbright selection committee processes, meetings, and outcomes.

  • Liaising with internal and external colleagues to provide support for CU Denver | Anschutz faculty and staff pursuing Fulbright Scholar and Administration grants.

  • Ensuring the departmental Fulbright application tracking is correct and up to date.

International Alumni Engagement Events:

  • Manage the development, implementation, and execution of international alumni engagement events, in collaboration with the AVC, Deputy Director, and Director of Marketing and Communications.

  • Support OIA Marketing and Communications with story and news updates on LinkedIn. Support development of the CU Denver | Anschutz international alumni network on LinkedIn.
  • Manage monthly OIA & Advancement meetings with the Deputy Director including creating agendas, capturing actions, and project managing actions/activities.

International Delegations:

  • Oversee international delegation visits to CU Denver | Anschutz including: arranging visit agendas, logistics and accommodations for visitors, coordinating participation from CU Denver | Anschutz leaders, faculty and staff, scheduling meetings in appropriate locations, providing name plates and refreshments as needed, coordinating with the Chancellors, Provost, EVC, and Deans offices, ensuring meal catering or restaurant reservations, providing campus tours as needed, ensuring gift exchange is in accordance with protocols, and logging meeting minutes and photos as needed.
  • Manage the OIA gift inventory including sourcing appropriate gifts, cataloging gifts given, and ensuring campus constituents understand gift exchange protocols.

Internationalization:

  • Project manage and track OIA cross-departmental projects related to increasing international student enrollment and increasing global education participation.

  • Develop and maintain collaborative relationships with other CU Denver | Anschutz schools/colleges/departments to identify opportunities for OIA to serve the internationalization missions of the two campuses.

  • In coordination with the AVC and Deputy Director, engage in regular relevant community initiatives and events to ensure an OIA presence at major events.

  • Develop strong, long-term partnerships with relevant groups and individuals.

  • Research, gather, and prepare background materials on a variety of issues to support campus internationalization initiatives.

  • Responsible for daily independent decision-making and problem resolution; establishes systems and processes to resolve issues or problems effectively and responsively at the lowest level possible; and expedites referral of matters to appropriate leaders or offices for follow-up. Provides required information or contact information to meet requests, with discretion where appropriate.

Unit, Program, and Leadership Support and Development (30%):

  • Ensure organizational systems are in place for the department and manage the department administrative projects including: ensure organizational systems are current and effective; regularly update and ensure relevance of projects and documents on the OIA Teams site and shared drive; maintain the OIA laptop inventory; and proactively manage the shared physical spaces within the Lawrence Street Center office space.

  • Provide project management, organizational support, and meeting minutes for OIA operations, including the OIA Leadership Team meetings, International Risk Management Committee, Global Education Advisory Committee, International College Beijing Operations Team, and international partnership steering committees.

  • Manage AVC travel planning and expense reporting.

  • Effectively handle sensitive and confidential issues on behalf of the AVC with tact, timeliness, discretion, professionalism, and consideration of the parties involved and OIA's ongoing interests.

  • Utilize strong organizational skills to manage voluminous AVC documentation on a wide range of topics. Serve on and support committees including OIA unit committees.

  • Organize OIA-wide training, professional development as opportunities and OIA staff meetings.
  • Financial management and expense reporting against planned budgets,

Qualifications you already possess (Minimum Qualifications)

  • Bachelor's degree in International Affairs, International Relations, Business, or a directly related field from an accredited institution.

  • Three (3) years of related work experience in extensive, diverse and progressively responsible roles in business operations and/or project management.

  • Two (2) years of professional experience coordinating or managing institutional agreements (e.g. contracts, MOUs, or similar documents)
  • Two (2) years of experience in administrative management involving multiple high-level stakeholders.

Substitution: A combination of education and related technical/professional experience may be substituted for the bachelor's degree on a year-for-year basis.

Preferred Qualifications to possess (Preferred Qualifications)

  • Five (5) years of related work experience in extensive, diverse, and progressively responsible roles in business operations, and/or project management, including experience with executive officer operations and serving as a member of a unit leadership team with reports to executive leadership.

  • Three (3) years of experience in an international affairs office setting, ideally in an institution of higher education with a health sciences campus.

  • Two (2) years of experience arranging complex international travel and/or events.

  • Experience living abroad and/or working or studying in a foreign language.

Knowledge, Skills, and Abilities

  • Advanced level of experience creating compelling documents, financial reports, spreadsheets, presentations, and databases with Microsoft Products.

  • Advanced skills with Microsoft Outlook including the proven ability to successfully organize messages, manage a busy university leader's daily, weekly, monthly, and annual schedule

  • Advanced organizational skills.

  • Ability to touch type.

  • Strong critical-thinking skills with very strong initiative to learn department responsibilities, goals, and objectives with the goal to provide effective program management support.

  • Ability to communicate effectively, strategically, and persuasively, both in writing and orally.

Conditions of Employment

  • Occasional work during the evening and/or weekends may be required to participate in events .

  • Some travel may be required.

  • Must be able to work in the CU Denver International Affairs office in downtown Denver four days a week. This position is required to be in the office Monday through Thursday with the occasional additional Friday as needed for events or urgent requirements. There may be occasions when the position can work additional days remotely upon agreement with the AVC.

Mental, Physical, and/or Environmental Requirements

  • The ability to sit for extended periods, stand and walk occasionally, reach with hands and arms, use hands to manipulate a keyboard and mouse, and have good near vision for computer work;often requiring minimal lifting, but may involve bending or reaching to retrieve items from shelves or drawers.
  • Occasionally, move equipment weighing up to 50 pounds.

Compensation and Benefits

The salary range (or hiring range) for this position has been established at $67,224 - $74,301.

The salary of the finalist(s) selected for this role will be set based on a variety of factors, including but not limited to, internal equity, experience, education, specialty and training.

The above salary range (or hiring range) represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting.

This position is not eligible for overtime compensation.
