Job Description:
Reporting to the Director of Administration, the Board Program Manager works closely with members of the Board office and Trustees to coordinate programming, events, communications, and resources for Board of Trustees events and programs. The individual should present a professional manner in a fast-paced environment at the highest executive level of the university. This individual will be expected to exercise good judgment in a wide range of situations, with strong written and verbal communication, administrative, data management, technology and organizational skills, and the ability to effectively manage multiple priorities as needed. Teamwork, curiosity, integrity, and empathy define the team's support of their work and of one another

Board Event Support:
- Under the guidance of the Director of Administration, provide event planning and execution support to the Senior Director, Board Events and manage hotel booking process/communications for all Trustee meetings and events on and off campus.
- Serve as the point of contact with Trustees and University leaders for all hotel bookings.
- Support hotel bookings for Trustees as related to their participation on campus for additional University events.
- Works with other University departments/offices to coordinate communication to and support for Trustees.
- Manage group and individual parking and transport for Trustee meetings and events.
- Scheduling challenges and last-minute planning for transport and hotel bookings may include after hour contact.
- Support the Director of Administration in executing the ongoing administrative, operational, and/or financial work of the Board office, including the annual Board office workplan, and event project plans.
- Records Management: Implement and maintain procedures to ensure confidential information is secure.
- Manage Trustee data including contact information ensuring records are regularly updated and communicated within appropriate University systems.
- Manage recordkeeping and archiving of minutes, resolutions, and department historical records.
- Takes the lead on various projects, including but not limited to the updating of the annual Trustee directory and management of the annual conflicts of interest disclosures.
- Other duties as assigned.
