Position Purpose
The College Advisor is under the supervision of Assistant Dean of Student Engagement in managing academic advising programs and services for undergraduate students within the College of Arts and Sciences (CAS). This position collaborates with the Drahmann Academic Advising Center, academic departments, and other university offices to ensure effective student engagement and academic success initiatives. The College Advisor assists with academic advising and helps utilize key advising data to support students' academic journeys.
Essential Duties and Responsibilities:
The duties of the College Advisor require effective time management, knowledge of advising resources, and excellent problem-solving skills. The work involves navigation of complex systems in a fast-paced environment. The College Advisor works effectively and enthusiastically both independently and as a member of a dynamic team within the Student Engagement Team and with other campus units including the Drahmann Center, Office of the Registrar, Department Chairs and Managers, etc
Provide general academic advising and referrals for new, transfer, and continuing students, employing developmentally and culturally appropriate frameworks and methods. (approximately 40%)
- Advise College of Arts and Sciences students in areas such as University policy and curriculum requirements
- Stay current with changes in University policies and undergraduate degree programs
- Advise, provide information and referral for undeclared students by providing options for declaring majors and minors within the College
- Provide specialized advising and resources to enhance student resilience, such as transfer students
- Improve academic advising skills and serve as a resource for College staff and faculty through in-service professional development activities
- Provide programming in a variety of locations across campus
- Responsibilities will include some evening and weekend assignments
Work as part of a team by assuming primary or secondary responsibility for one or more specific projects or portfolios in the College's Student Engagement Team. (approximately 40%)
- In collaboration with the Assistant Dean, provide day to day support and management of the Peer Advising program
- Present at the Peer Advisor class and meet individually with peer advisors each term
- Assist in the coordination of broader training programs for peer advisor with various departments and programs across campus
- Manage peer advisor schedules and drop-in advising schedule
- Identify new opportunities to improve upon the existing peer advising program based on best practices
- Work on common projects or portfolios to support first year and transfer advising and registration, including Welcome Weekend, and Family Weekend; the Director of the Core Curriculum; the transition of transfer students; students uncertain about their majors; faculty advising in the College of Arts and Sciences
- Manage the centralized pre-graduation check for departments in the College of Arts and Sciences
Advising Outreach & Campus Collaboration (20%)
- Partner with the 25 College of Arts and Sciences departments to help students meet their academic goals.
- Develop and facilitate workshops for faculty, staff and students on topics such as learning strategies, core curriculum planning, and course registration.
- Collaborate with campus groups to support events like Unity Week, Parent Weekend, Open House, and Preview Days.
- Provide targeted outreach to specific student populations, including international students, students with disabilities, athletes, and LEAD Scholars.
- Support assessment and data collection efforts to continuously improve advising programs.
General Guidelines
- Recommends initiatives and implements changes to improve quality and services
- Identifies and determines cause of problems; develops and presents recommendations for improvement of established processes and practices
- Maintains contact with customers and solicits feedback for improved services
- Maximizes productivity through use of appropriate tools; planned training and performance initiatives
- Researches and develops resources that create timely and efficient workflow
- Prepares progress reports; informs supervisor of project status; and deviation from goals
- Ensures completeness, accuracy and timeliness of all operational functions
- Prepares and submits reports as requested and required
- Develops and implements guidelines to support the functions of the unit
Qualifications
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The items below are representative of the knowledge, skills, abilities, education, and experience required or preferred.
Knowledge:
- Knowledge about integrating developmental and multicultural advising for individuals and groups and learning resources services and programs
- Knowledge and understanding of student information systems in a university setting (PeopleSoft or Workday knowledge preferred)
- Familiarity with and commitment to the mission, goals and vision of Jesuit education, and of Santa Clara University in particular, preferred
Skills:
- Excellent time management, organization, and ability to see assigned tasks through to completion
- Skill and effectiveness in managing multiple projects concurrently, with several projects in various stages of completion
- Excellent interpersonal skills, including effective oral and written communications with the campus community, internal customers, and team members to develop working relationships, secure and/or provide information, identify and resolve problems, and develop solutions to accomplish organizational goals
- Proficiency in Google and Microsoft Office
Abilities:
- Ability to handle confidential information appropriately according to state and federal laws, as well as campus procedures
- Ability to work as part of a multi-faceted team of faculty, staff, and students of diverse backgrounds

Education:
- Bachelor's Degree required
Experience:
- 3 years of advising or related experience in higher education required.
