St. Catherine University invite applications for a full-time Administrative Assistant position covering the front desk for HR, Legal, Equity & Belonging team.

The Administrative Assistant to the senior leaders over Human Resources , Chief Legal Counsel and Equity & Belonging and provides day to day support. This position is responsible for a broad and complex set of assignments related to the duties of both and provide project support for the division of Human Resources and Equity & Belonging.

Responsibilities:
  • As the first point of contact for both SVPs, the administrative assistant represents both divisions in a respectful and professional manner to both internal/external constituents.
  • Assists both SVPs coordinate a large amount of information, requests, and competing priorities, leveraging technology and exercising discretion and a high degree of confidentiality.
  • Provide high level support to both SVPs including initiation and leadership directly related to both SVPs, their respective leadership teams and the Senior Leadership Team.
  • Direct calendar management with independent decision making in managing conflicts and priorities.
  • Coordinate events and meeting logistics, both internal and external, telephone calls and travel. Prepare for meetings, record and transcribe minutes at selected meeting groups, summarize meeting feedback and proofread documents as needed. Proactively review the SVP's schedule and ensure materials needed for upcoming meetings are prepped and provided.
  • Room reservation and catering management for all meetings.
  • Coordination and planning for events for project meetings, team meetings, division meetings and meetings that may include leaders in other functional areas.
  • Collaborate with the other Senior Leadership Team Assistants to manage Senior Leadership Team meetings, agendas, calendar events and SLT meeting minutes.
  • Management of emails, phone calls and meeting requests looking for priorities, urgent issues, and addressing contacts as appropriate to help manage the workload of both SVPs.
  • Coordinate the quarterly updates of the HREI division's strategic plan.
  • Coordinate collection and submission of materials for Board of Trustees meetings
  • Coordinate the scheduling of interviews for HR investigations with the investigator and the designated HR representative.
  • Ensure the appropriate communication is distributed to the complainant, respondent and all other participants in the investigatory process.



Salary: $18.00 - $20.00

The salary range listed reflects a good-faith estimate of what we reasonably anticipate to pay for this position, based on market data and internal equity, at the time of posting. Actual compensation will be determined based on qualifications, experience, skills, and other relevant factors. St. Catherine reserves the right to modify or adjust compensation depending on University needs.

Minimum Qualifications:
  • Experience with office management, meeting and event planning and problem solving
  • Experience managing a wide variety of tasks and projects, operating under tight timelines
  • Experience creating a warm and professional welcome to all who interact with these executive leaders
  • Experience calmly and successfully serving dissatisfied customers
  • Expert use of Microsoft Office software
  • A history of successful collaboration with multiple constituencies
  • Proven ability to work with confidential matters
  • Ability to work collaboratively with multiple teams, with Senior Leadership and the Cabinet.
  • Capable of exercising a high degree of independent judgment and prioritizing work
