Job Duties:
Bucknell University is seeking an Executive Assistant to the Dean, College of Engineering. The Executive Assistant to the Dean provides executive-level administrative and operational support to the Dean of Engineering, respecting and protecting the confidentiality of information shared within the office. The Executive Assistant provides support for high priority initiatives identified by the Dean and led by the Associate Deans and is responsible for timely communication to and from the Dean and the Dean's Office. This position handles details of a highly confidential and critical nature, and must function efficiently and effectively in a fast-paced professional environment. The Executive Assistant works independently and proactively to support the overall work of the Office of the Dean, College of Engineering.
Executive Support:
- Provide executive-level administrative support to the Dean including managing projects, complex calendaring, coordinating and supporting meetings and events, preparing draft communications, arranging travel, and submitting appropriate travel reports.
- Work collaboratively with the Dean's Office leadership team in the execution of projects, initiatives, and events related to the college; actively participate in meetings and the work of the team.
- Respect and protect the confidentiality of information shared within the Dean's Office and the College of Engineering.
Project Management:
- Coordinate special projects and tasks and manage workload as needed.
- Assists the Dean with preparation for ABET reviews as required for the College's accreditation process.
Office Management & Communications:
- Manage confidential records, tracking, and documentation.
- Support purchasing and inventory for the College of Engineering.
- Support Dean's Office communications and correspondence.
- Serve as primary contact for external constituencies, campus partners, and CoE faculty and staff
- Work closely with associate deans and staff in the Dean's Office to ensure timely communication from the Dean's Office to other constituents.
- Liaise and develop effective working relationships with campus constituents and executive/administrative assistants in other executive offices, to facilitate increased efficiencies and effectiveness, to support the work of the Dean, and to offer support to the work of other divisions.
Financial Oversight & HR Support:
- Working with Business Operations, responsible for tracking faculty and student travel spending and other duties as required
- Maintain working knowledge of HR policies, procedures and processes
- Maintain familiarity with Workday and Workday Recruiting
- Working with department academic assistants, support onboarding for all new faculty & staff.
Events Management:
- Manages cyclical duties for which the Dean's Office has responsibilities, including special events preparation and the planning and coordination of special annual events.
Other:
- In coordination with the Dean, provides additional assistance on tasks as needed, such as data collection and reporting; advertising and marketing, and other tasks as assigned.
Minimum Qualifications:
- High School diploma
- Five years' executive-level administrative experience
- Experience supporting the communications and operational needs of a large staff, and the ability to work collaboratively with the staff
- Project management experience
- Technical proficiency and knowledge of current office productivity tools, including email, electronic calendars, and other resources
- Working knowledge of ordering, receiving, and invoicing within an automated system
- Working knowledge of budgeting processes
- Effective interpersonal, organizational, and written / oral communication skills
- Proven ability to work independently, think proactively and prioritize tasks in a dynamic environment
- Cultural competency with the ability to work well with faculty, staff and students from varied backgrounds and talents
Preferred Qualifications:
- Bachelor's degree
- Familiarity with Workday
- Experience in an academic environment
Physical Requirements:
- Able to occasionally move up to 25 lbs.
- Able to remain in a stationary position for extended periods of time; operate a computer and use a mouse/keyboard for long periods of time
- Able to work in an environment with multiple competing deadlines and frequent interruption

54,080.00-67,600.00
The offer rate will be based on a review of the candidate's credentials compared to the qualifications of the position, internal equity, and our overall compensation philosophy.
This role is not budgeted for visa sponsorship at this time, all candidates must be authorized to work in the US at the time of submission of the application.
