Job Description:
OFFICE: SUNY Charter Schools Institute
FUNCTION & SCOPE: The SUNY Charter Schools Institute is responsible for evaluating proposals for new charter schools and for the continuous monitoring of student academic performance, fiscal soundness, and overall school operations of 230+ SUNY Authorized charter schools. The Executive Assistant reports to the Managing Director of Administration and provides high level professional support to the Institute's Executive Director and Leadership Team.
DUTIES:
- Serve as a primary point of contact for inquiries to the Leadership Team from varied audiences that include the SUNY Board of Trustees and System Administration leadership, SUNY charter school leaders and boards, prospective new school applicants, the New York State Board of Regents and State Education Department, school districts, state and national charter school or public education-related organizations, etc.
- Responsible for maintaining the Executive Director's calendar and managing all related communication with invitees, including SUNY Board of Trustees members, charter school leaders, and other key stakeholders.
- Make travel arrangements for Executive Director and provide executive support while ED is in travel status including communicating any changes in schedule, managing changes/modifications and resolving problems.
- Support Institute staff with registration and travel arrangements for conferences and other special events.
- Processing travel reimbursement for ED and other travelers to conferences and special events.
- Scheduling Institute meetings, professional development, recruitment activities and other events.
- Organizing and managing logistics for meetings/events.
- Support Institute new employee onboarding experiences, including the development and updating of training documents and resources.
- Support the Managing Director of Communications and Strategy with planning SUNY Charter Schools
- Committee Meetings by communicating logistics, preparing, and printing materials, coordinating with internal and external attendees, and drafting supporting documents such as agendas
- Support the Executive Director with communication and dissemination of draft and final evaluative reports to schools, managing the intake of factual corrections submitted by each school, as well as electronic filing of reports and correspondence into proprietary software systems.
- Manage a variety of office processes for Institute staff in Albany and NYC.
Requirements:
REQUIRED EDUCATION/EXPERIENCE:
- Associate's Degree and at least three years of progressively responsible experience, or an equivalent combination of education and experience.
- Self-starter with strong interpersonal, written and verbal communication skills
- Strong organizational capabilities and attention to detail
- Ability to problem-solve, anticipate upcoming needs and maintain a solution-oriented approach
- Ability to work independently and to handle multiple tasks
- Ability to maintain a professional demeanor; to be discreet and handle confidential information
- Strong computer skills required, including proficiency in Microsoft Office, especially Word and Outlook; willingness to learn new programs.
PREFERRED QUALIFICATIONS:
- Bachelor's degree in a relevant field
- Executive Assistant experience and/or experience making travel arrangements for executive staff
- Familiarity with Research Foundation and SUNY policies and procedures
LOCATION/SALARY:
- Albany, NY ($56,000-$62,000)
- Hybrid work schedule
