Assistant Registrar, School of Medicine - Georgetown University Medical Center

The Assistant Registrar is charged with maintaining and enhancing technologies and business processes in full support of the student system of record. The incumbent will administratively oversee Registrar office functions and processes, and maintain technologies and processes for student evaluation services, storage/management of official student records, enrollment, and registration. In addition, the Assistant Registrar shares responsibility for ensuring that students have met all requirements for graduation. Reporting to the Registrar and working closely with curricular, student services, & IT staff across GUSOM and the university, additional duties include, but are not limited to:

Enrollment & Course Registration Management
  • Assist with building the School of Medicine course and course section catalog, for each Academic Year, within the course registration system - to include timely and accurate input of term start and end dates.
  • Ensure accurate and timely course and course section creation/maintenance, to include updated faculty of record for each course, and that new course/section requests adhere to consistent registration and registration/record system practices.
  • Maintain accurate and up-to-date student enrollment records, to include any enrollment actions taken throughout an academic year and any related enrollment attributes.
  • Ensure course registration accurately reflects student's course/clerkship enrollment, and particularly as it relates to the enrollment feed from the clinical clerkship and elective lottery/placement system.
  • Counsel students in regard to any enrollment/tuition refund policies, and as it relates to leaves and returns.
  • Assist Registrar with nightly Banner reports, clearance of enrollment suspense files, and timely/accurate credentialing of all newly-enrolled SOM & GEMS students.


Office & Business Process Management
  • Manage the School of Medicine Registrar webpage, assisting in all aspects of graduation planning and execution.
  • Provide back-up assistance to the Credentialing Manager to ensure timely processing of enrollment and degree certifications, official transcript production, and student account troubleshooting.
  • Co-Manage the preparation and delivery of National Student Loan Clearinghouse files, AAMC SRS system updates, enrollment/registration-related LCME reporting, VSAS, VAOnce certification, and VA/Yellow Ribbon management/compliance.


Grade/Official Record Management & Electronic Residency Application Service Administration
  • Ensure the timely, complete, and accurate recording of and reporting on grades/evaluation comments, in partnership with the Office of Assessment and the Office of Medical Education.
  • Ensure all official student records accurately reflects grade-related enrollment actions, such as withdrawals.
  • Train and guide faculty and staff around grade upload processes via MyAccess.
  • Co-Administrate the nine month long Electronic Residency Application system including the issuance of access tokens, document upload including letters of recommendation, transcript, applicant photos, and MSPE.
  • Assist Registrar with the Supplemental Offer and Assistance Program during NRMP match week.


Requirements and Qualifications
  • Bachelor's degree
  • 3 years of progressively responsible experience in higher education enrollment management and/or student records
  • Strong organization skills and attention to detail
  • Proven ability to meet and effectively prioritize competing deadlines, especially ones that involve deliverables from many stakeholders
  • Expertise in supporting enterprise systems, like Ellucian's Banner, and the management of databases
  • Experience using and developing business intelligence reporting tools, such as Cognos
  • Training and knowledge transference experience
  • Strong interpersonal skills and ability to communicate across a wide spectrum of stakeholders, to include counseling students around enrollment/tuition policies


Preferred Qualifications
  • Experience in business process improvement and shared stakeholder
  • Advanced skills in MS Word, Access, Excel, and the G-Suite
  • Experience working in Ellucian's Banner and using/programming Cognos reporting

Pay Range:

The projected salary or hourly pay range for this position which represents the full range of anticipated compensation is:
$66,783.00 - $126,720.23

Compensation is determined by a number of factors including, but not limited to, the candidate's individual qualifications, experience, education, skills, and certifications, as well as the University's business needs and external factors.
