Job Summary

The College of Arts and Sciences (A&S) is encouraging applications for the Faculty Affairs Coordinator position! Individuals in this position are learning skills to provide guidance, advice, and direct assistance to associate deans, chairs, directors, department managers, and supervisors regarding recruitment, hiring, leave management, and onboarding.
The duties for this position are focused primarily on faculty, and process improvements for the life of temporary, non-tenure track, and tenure track/tenured faculty.

Who We Are

The College of Arts and Sciences comprises more than 60 departments, programs, and centers; approximately 1300 faculty, and 500 non-faculty employees. The Dean's Office Personnel unit is responsible for assessing and managing the human and organizational needs of the college. This position reports to the college's Director of Faculty Affairs and holds responsibility for the effective administration of personnel policies, the implementation of employment-related procedures, ensuring that the appropriate documentation is completed, and that deadlines for personnel actions are met.

What Your Key Responsibilities Will Be

Transactional support of faculty job types, including Tenured Faculty, Instructors, Scholar in Residence, Visiting Professors, Lecturer, Non-Tenured Faculty, and Additional Job Appointments- for assigned portfolio.
  • Implements streamlined processes with the supervisor for the transmission of documents for faculty in all aspects of the faculty employee lifecycle.
  • Maintain updated templates within processing systems.
  • Manage approval and routing of documents using DocuSign accounts, in consultation with the supervisor.
Process Improvements
  • Provides Director of Faculty Affairs feedback to identify process improvements to increase efficiencies of internal processes.
  • Collaborates with the Faculty Affairs Director and other coordinators in weekly meetings.
  • Implements process improvements as defined and approved by the Director of Faculty Affairs.
  • Explores opportunities to automate processes and procedures to recommend to the supervisor.
Coordinate Faculty Recruitment Process
  • Serves as a point of information regarding campus and university policy, and federal and state law, for deans, chairs/directors, staff, and faculty accordingly.
  • Communicates procedural changes to A&S departments in collaboration with Personnel Team, Finance and Payroll Administration, and Budget Office, with guidance from supervisor.
  • Provide administrative support for the recruiting process-respond to department entries, collect paperwork, and track completion as necessary, for faculty recruitments within the College.
  • Documents procedures clearly and consistently, and ensures procedures are updated on the college website. Collaborating with the Director of Faculty Affairs to ensure the faculty-specific pages on the CAS website are current and updated each semester.
  • Will work in tandem with the Director of Faculty Affairs on the onboarding of new faculty, including but not limited to: collecting the CV, LORs, SSN, and Faculty Pledge forms and submitting these to Faculty Affairs. Working with the Director of Faculty Affairs on updating the official faculty roster each year.
  • Ensure that faculty paperwork is filed and maintained in accordance with the records retention policy, using OnBase filing systems.
Sabbatical Process
  • Generate the faculty sabbatical eligibility list using OFA's reporting dashboard, and communicate application process notification to eligible faculty members, chairs/directors, and department managers.
  • Monitor application process, submission accuracy, and resolve questions and problems.
  • Ensure that the Office of Faculty Affairs receives completed/approved (by Dean's Office) applications for final campus-level approval.
  • Distribute final approval communication to departments.
  • Ensure that sabbatical and CSA procedures, tools, and information are up-to-date and posted on the college website as necessary.
Teaching and Clinical Faculty Reappointment
  • Comprise a list of reappointments due; provide a list to the Director of Special Operations.
  • Receive list of approved reappointments and create reappointment letters, route letters to OFA for review when required, and route final approved letters for signature.
Faculty Leave Administration
  • Route requested leave of absence, unpaid leave, parental leave, and other leaves for approvals.
  • Determine the type of leave based on the request.
  • Route for proper signatures based on the type of faculty.
General Faculty Support
  • Assist the Director of Faculty Affairs with various process improvement initiatives.
  • Serve as liaison with campus, as needed.
  • Assists during the annual merit allocation process
  • Monitors the A&S Faculty affairs email account.
  • Assists in filing documents into OnBase.


What You Should Know

  • Hybrid Schedule: At least 2+ days a week on campus per campus and college policies and guidelines.
  • This can be subject to change based on the business needs of the department.
  • Standard Business Hours: 8:00 AM - 5:00 PM | Monday - Friday
  • Employee may be expected to be on campus Monday-Friday during onboarding, training, and/or professional development events/meetings.


What We Can Offer

The annual salary range for this full-time position is $50,000 - $56,150.
