The Academic Innovation Programs Assistant provides operational, financial tracking, communications, and administrative support for initiatives within Academic Innovation Programs (AIP) in the Office of Academic Affairs. This position assists with financial reconciliation and revenue tracking for CU system-managed courses and specializations on the Coursera platform, supports program communications and documentation, and provides coordination for academic initiatives, events, and special projects. The role also provides general administrative support and contributes to maintaining organized systems and processes that support AIP and Office of Academic Affairs operations.
This position reports to the Director of Academic Programs & Policy Analysis and is exempt from the state of Colorado classified system.

This is a part-time position (8-10 hours per week) that is project-funded for a 12-month term.
Applicants must be Colorado residents or able to relocate to Colorado within a month of starting employment with University of Colorado System Administration.
This role is eligible for a hybrid schedule, working some days from home and some days in office.
Please note, leadership may adjust in-office work requirements with a minimum of three months' notice before any change can be implemented.
Duties and responsibilities of the position include, but are not limited to:
Financial Tracking & Coursera Program Support
- Conduct quarterly financial reconciliation and analyses for CU system-managed courses and specializations on the Coursera platform.
- Track and maintain Coursera revenue metrics and update associated budget and revenue tracking spreadsheets.
- Communicate with Coursera campus partners regarding quarterly revenue earnings and related program updates.
- Maintain organized documentation and filing systems related to Coursera faculty partner agreements and program materials.
Operational & Program Support
- Assist with operational, process, and logistical support for Academic Innovation Programs (AIP) and Office of Academic Affairs (OAA) initiatives.
- Provide administrative and logistical support for academic initiatives, events, and selection processes, including awards and grants (e.g., OER Awards).
- Conduct research for special projects using AI-based tools, internet resources, and other relevant information sources.
Systems, Documentation, & Administrative Support
- Develop and maintain documentation and training materials to support cross-training on Coursera financial analysis processes and related workflows.
- Prepare expense reports in the Concur system and assist with associated procurement and purchasing processes.
- Perform general office and administrative duties and support additional projects as assigned.
Salary: The anticipated hiring rate has been established at $26/hr.
CU System Administration takes into consideration a combination of the selected candidate's education, training and experience as it relates to the position, as well as the position's scope and complexity, internal pay equity and external market value when determining a salary level for potential new employees.
Minimum Qualifications:

- Bachelor's degree from an accredited institution of higher education, or equivalent professional experience (professional experience may be substituted for the educational requirement on a year-for-year basis)
- One (1) year of equivalent experience
Preferred Qualifications:
- Two (2) years' equivalent experience
Knowledge, Skills, and Abilities:
To be successful in this position, employees will need to know the following:
- Strong proficiency with Microsoft Excel and experience working with spreadsheets, financial reconciliation, or data tracking, along with general proficiency in the Microsoft Office Suite.
- Ability to learn and effectively use a variety of administrative and technical systems used by the Office of Academic Affairs and Academic Innovation Programs, such as Concur, SharePoint, and AI-enabled tools.
- Strong organizational skills with the ability to maintain accurate records, track financial data, and manage multiple tasks and deadlines with attention to detail.
- Strong written and verbal communication skills, including the ability to communicate professionally with internal partners through email, meetings, and virtual platforms such as Zoom.
- Ability to work both independently and collaboratively within a team environment while demonstrating reliability, flexibility, and a willingness to learn new processes and systems.
- Ability to identify issues, develop practical solutions, and adapt to changing priorities in a fast-paced administrative environment.
