Job Summary

The Office of Academic Culture and Community in the University of Utah School of Medicine is seeking a Program Specialist II who will support administrative operations, program coordination, and professional development initiatives across the academic community.

We are looking for an enthusiastic and organized person who is interested in the planning and execution of events and activities in service of our mission: to create a welcoming and respectful environment in academic medicine for people from all backgrounds, actively recruit and fully foster the development of a workforce that reflects our communities.

The Program Specialist supports the design, coordination, and implementation of professional development programming that strengthens leadership capacity, workforce development, academic engagement, and community building.
Through strong administrative management and program coordination, this role helps ensure that professional development opportunities are accessible, well-organized, and aligned with the Spencer Fox Eccles School of Medicine's strategic priorities.

Responsibilities
Program Specialists, IIDesign and implement one or more programs for the university that carry out the organization's mission. Set goals for each program. Determine benchmarks for successful and effective programs that achieve intended goals. Ensure that the programs and services provided reflect the needs and expectations of the community. Collect feedback from members, volunteers, and staff to improve future programs/services. Responsibilities may include fundraising, budgeting, and community outreach for assigned program(s). May manage special events that publicize the organization and its programs to the community. Requires moderate skill set and proficiency in discipline. Conducts work assignments of increasing complexity, under moderate supervision with some latitude for independent judgment.Requires a bachelor's (or equivalency) + 4 years or a master's (or equivalency) + 2 years of directly related work experience.This is a Developing-Level position in the General Professional track.Job Code: P23712Grade: P14
  1. Oversees day-to-day administrative operations of the office, including documentation of standard operating procedures, calendar management, meeting coordination, correspondence, purchasing, process payment request, financial tracking, travel reimbursements, and maintaining organized program records.
  2. Supports the logistical and scheduling aspects of programs including scheduling appointments, room reservations, and ordering food and supplies for activities.
  3. Participating in program meetings, transcribing minutes, responding to phone calls, and email correspondence. Distribute minutes to OACC staff.
  4. Coordinate arrangements for invited speakers including travel, hotel, meeting space, honorariums, and schedule.
  5. Track expenses and ensure all supporting financial documents are accurately completed and that information is entered into the financial database in a timely manner.
  6. Monitors the office email account and ensures timely responses or follow up as appropriate.
  7. Assist with the development and coordination of community-building and academic community engagement initiatives that promote collaboration, foster belonging, and professional growth.
  8. Support the planning, coordination, and implementation of professional development and engagement opportunities that enhance leadership growth and academic connection.
  9. Assists with building and maintaining relationships with other departments and external partners to support collaboration and program effectiveness and strengthen connections across the academic community and broader community partners.
  10. Develops and implements program goals and objectives.
  11. Coordinates and supports programming and engagement activities related to leadership initiatives, retreats, committees, and professional association sponsorships, recruitment activities, orientation programming, visiting rotations, and pathway initiatives.
  12. Coordinate and support multiple programs that occur simultaneously and have strict deadlines and being available to make informed, on the spot decisions to ensure activities are executed effectively and efficiently.
  13. Provides coordination and support for additional programs as needed, including medical student programming and pre-medical student initiatives.
  14. Supports marketing and communications efforts, including website updates, newsletters, social media content, public relations, and promotional materials.
  15. Supports the development, production, and distribution of monthly newsletters.
  16. Monitors program quality and effectiveness and research improvement methods.
  17. In coordination with program leadership, prepare, collect, distribute, and summarize surveys and other data to maintain accurate and up to date program records.

Minimum Qualifications
EQUIVALENCY STATEMENT: 1 year of higher education can be substituted for 1 year of directly related work experience (Example: bachelor's degree = 4 years of directly related work experience).

Program Specialists, II: Requires a bachelor's (or equivalency) + 4 years or a master's (or equivalency) + 2 years of directly related work experience.



Preferences
  • Highly effective communication and interpersonal relationship skills.
  • Demonstrated experience in event planning and communications.
  • Experience using software/platforms including Zoom, Canvas, Kuali, PeopleSoft, Qualtrics.
  • Experience using Microsoft Office Suite, Macintosh platform, social media (Facebook, twitter, and Instagram).
  • The program specialist should be able to work independently and possess strong communication, coordination, and organizational skills.

Work Schedule Summary: The primary work hours for this position are Monday - Friday, business hours. This position requires some evenings and weekends but includes flex time when evening and weekends are worked. The incumbent must reside in Utah. This position is located at 27 S.
