POSITION SUMMARY
The Administrative Project Support Specialist (APSS) plays a vital role through providing administrative assistance to key leaders within the President's Office, including the Vice President of External Strategy and Chief of Staff, the Chief Analytics and Institutional Excellence Officer, and the Executive Director of Strategic Communications and Special Initiatives, and the President's Executive Assistant. Reporting directly to the Executive Assistant (EA) to the President, the APSS will also serve as back-up support to the EA through supporting the President as needed. This position requires an adaptable individual that collaborates effectively with members of the President's Office team to ensure office coverage and smooth operations in a fast-paced, ever-evolving environment.
As part of the President's Office team, the APSS will be expected to exercise discretion and confidentiality when handling sensitive information. The role also involves providing exceptional customer service and conflict resolution skills while assisting visitors and supporting event planning, special projects, and office-related activities. Additionally, the APSS will be responsible for managing calendars, coordinating travel arrangements, tracking budgets, making purchases, supporting the execution of CCA events, and providing comprehensive office support. Strong organizational skills, attention to detail, and the ability to prioritize and manage multiple tasks will be essential for success in this role.
Please note: Although this position supports student events and leaders, it is not student-facing.

DUTIES & RESPONSIBILITIES:
Administrative Support and Office Management

  • Provide administrative support and serve as backup to the EA in the absence of the Executive Assistant to the President.
  • Manage complex schedules, coordinate meetings and complete duties as assigned by the EA.
  • Support the President's calendar management when the EA is unavailable.
  • Assist in coordinating or supporting efforts to complete special projects in collaboration with President Office personnel.
  • Greet visitors and address inquiries from internal and external stakeholders with professionalism.
  • Demonstrate initiative, discretion, and sound judgment in decision-making, problem-solving, and respond to requests.
  • Proactively anticipate and initiate actions related to events, meetings, correspondence, and other tasks.
  • Coordinate logistics for meetings, programs, and events, including room reservations, catering, technology, and other arrangements, as assigned/in collaboration with the EA.
  • Attend meetings to take minutes and distribute information as directed.
  • Maintain accurate files and records, ensuring confidentiality in handling sensitive materials.
  • Prepare/research community events log monthly for president
  • Foster collaboration with administrative support staff and other internal/external partners to assist with division and institutional initiatives.
  • Coordinate travel arrangements for the executive team, adhering to State Fiscal and Travel Rules.
  • Assist in scheduling interviews and participate in interview committees as needed.
Fiscal Responsibilities
  • Assist with monitoring and tracking budgets for individual and divisional accounts as assigned by EA.
  • Support purchasing activities and managing related paperwork.
  • Help process purchase orders (POs) and track receipts, compiling monthly procurement and travel card records for fiscal affairs.
Other Responsibilities
  • Support the planning, coordination, and execution of CCA events on behalf of the Office of the President as assigned by the EA.
  • Other Duties as assigned.




REQUIRED QUALIFICATIONS & SKILLS
Education & Experience:

  • Associate's degree or equivalent experience (minimum 24 months of clerical or administrative experience).
  • Experience in administrative support, or office management.
  • Experience assisting with implementing projects or events.
  • Proficient in Microsoft Office Suite and virtual meeting platforms (Zoom, Teams, WebEx).
  • Experience tracking expenditures, processing purchases, and maintaining documentation for budgets.
  • Experience providing customer service or helping others with information, referral or identifying how to meet their need.
  • Experience with diverse populations and a commitment to promoting a welcoming and inclusive culture.
  • Experience in higher education or similar fast-paced environments.
Skills and Abilities:

SUPPLEMENTAL INFORMATION

Salary Range: Anticipated salary is $51,732.85 annually. This salary is determined by the qualifications of the selected candidate balanced with departmental budget availability, internal salary equity considerations, and available market information.
