Under the direction of the Associate Dean, the Coordinator provides comprehensive support of MATC's Protective Services programs. This role has responsibilities of lead scheduling support, certification testing logistics, compliance documentation, as well as AHA Training Center coordination. Will serve as a project manager and primary point of contact for students, faculty, staff and external partners. This position will assist with instructor and preceptor training support, student performance and certification tracking, and basic budget and grant support.

Characteristic Duties and Responsibilities

Administrative Operations: Working with lead faculty and the Associate Dean, builds and adjusts semester and session schedules. Maintains calendars, room and lab assignments, equipment requests, and event timelines. Tracks tasks, risks and deadlines, and publishes updates to stakeholders. Recommends process improvements for scheduling flow, testing operations, communications and student touchpoints. Gathers quotes, prepares purchase requires and maintains basic equipment inventories. Provides data for grant deliverables and reports. Collects and prepares materials and data for audits and site visits.
Certification & Testing Oversight: Coordinates practical and written exam logistics in line with WTCS requirements. Reserves facilities, confirms rosters, processes paperwork. Provides and communicates clear instructions to candidates and proctors. Supports students through testing and licensure steps. Coordinates retest logistics, follow ups and status reporting to program leadership.
Training & Education: Maintain Training center compliance per the AHA Program Administrative Manual. Manage course rosters and eCards, instructor files,alignment lists, renewals and monitoring with Training Center Faculty. Keeps accurate records related to retention, policy and science updates, and site-review preparation. Works closely with lead faculty and program administrative assistants on documentation.
Faculty, Staff and Preceptor Training Support: Support the onboarding and refreshers for adjuncts, skills evaluator and preceptors. Maintains training sign-ins, renewal trackers, and evaluations tools to promote consistent expectations across sections. Facilitates regular check-ins with lead faculty and administrative staff. Publishes timely updates on schedule changes, testing notices, and facility access to ensure alignment with stakeholders. Attends advisory and chief's meetings with lead faculty.
Stakeholder Liaison & Agency Sponsorship: Services as a primary contact for Protective Services agencies and regulatory partners. Coordinates site access, facility needs and partner communications. Assists with registration and agency sponsorships, including authorization letters, vouchers, and required documentation. Works directly with Admissions, Registration, Student Accounts and Workforce Solutions.
Equipment & Facility Management: Coordinates lab and training ground set ups and tear downs aligned to the schedule. Maintains equipment checklists, inspection schedules and service tickets. Tracks readiness of props, classroom technology, and apparatus access for classes and exams.
Student Support: Tracks student progress on certification steps, and outcomes tied to testing, eCards and licensure milestones. Coordinates information sessions and outreach events. Tracks inquiries, reducing administrative barriers, and connects students with advising and support services.
Collaborative Teamwork: Establishes, maintains, and enhances positive work relationships with staff, faculty, and administrators.
Continuous Learning & Professional Development: Maintains current knowledge of best practices and standards in higher education with an emphasis on community Colleges. Actively organizes and/or participates in applicable workgroups, trainings, workshops, seminars, committees and professional associations or conferences to promote continuous learning.
Other duties: Perform other related duties within the scope of the position as required for the efficient operation of the division and to support institutional objectives.

Qualifications

Compliance with all state, federal, and accreditation standards/requirements, as well as all MATC policies and procedures.

Required Education & Experience: Associate's degree and three (3) years' experience in protective services or related field, including program and/or project coordinator. Higher education experience preferred.

Preferred Education & Experience: Bachelor's degree in related protective services field. Experience in coordinating certification testing, class logistics, and/or experience as either an EMS provider, Firefighter or law enforcement officer is highly desired.

Required Licensure/Certification: None
Preferred Licensure/Certification: WI EMT or higher, Firefighter 1, or WI LESB Police officer.

  • Start Date: This position supports the Community & Human Services Pathway and is available to start immediately.
  • Hours: This position is full-time 40 hours per week. Work hours are (8am - 4:30pm, Monday - Friday).
  • Compensation: Salary pay rates are listed up to the midpoint of the range and placement is determined based on years of experience, internal salary equity, and a review of the applicant's employment and educational background as listed on the job application.
