Job Summary:

The College of Lake County has an exciting opportunity for an Information Technology Finance Coordinator who oversees and coordinates IT budget administration, reporting, and analysis; purchasing and procurement of technology goods and services; management and tracking of goods from receipt to disposal; and serves as key contact and coordinator for the IT portions of the annual financial audit. Other duties include maintaining and improving all communication, processes, and procedures related to these areas. This role focuses on streamlining operations, controlling costs, leveraging financial resources allocated to IT and maximizing the budget assigned to IT, and the distribution and analysis of data that enables others to achieve these goals. Finally, this person must be adept at communication and interpersonal skills to help the different parts of an organization work together, creating a positive culture where the objectives get completed. This role will report to the Chief Information Officer.

Job Description:

These duties are deemed typical, but not inclusive of other duties:

Project and Process Management (40%)

  • Manages the IT procurement process in line with Board expectations, regulations, and best practices, identifying opportunities for improvement.
  • Processes requisitions, purchase orders, invoices, and vouchers for College-wide technology (e.g., computers, servers, printers), ensuring timeliness and accuracy.
  • Maintains IT budget in Workday and supporting tools; processes vouchers and requisitions daily.
  • Produces weekly budget reports and meets monthly with department heads to review status and optimize funds.
  • Leads quarterly budget reviews with IT leadership and manages the overall budgeting and forecasting process.
  • Analyzes spending trends to improve cost control, efficiency, and value; provides early warnings on potential overages.
  • Forecasts annual budget demands and ensures timely processing of planned expenditures.
  • Coordinates IT cost vetting for departmental business plans and manages IT's role in the annual budgeting process.
  • Reports financial compliance concerns to the College Compliance Manager and supports the IT component of the annual financial audit.
  • Drives process improvements across IT procurement, asset management, and budgeting.
  • Manages related projects and maintains accurate IT financial documentation.

Technology Support (35%)

  • Oversees the full lifecycle of IT assets from receipt to disposal, including procurement, storage, tagging, distribution, tracking, and reporting.
  • Maintains accurate records of goods ordered, received, and deployed; coordinates movement of assets between departments.
  • Identifies end-of-life assets and manages their collection and disposal.
  • Tracks shipping/receiving functions and ensures inventory control.
  • Performs user acceptance testing for Workday modules and reports defects.

Student/Customer Service (20%)

  • Builds partnerships with non-IT departments to ensure effective technology acquisitions.
  • Serves as the central contact for all IT purchases, ensuring processes are followed and coordinating approvals and contract completions.
  • Acts as IT liaison for all purchasing-related transactions.
  • Oversees vendor and records management, assessing strategic partners and reviewing non-strategic partners after major engagements.

Other Duties (5%)

  • Serve on committees, task forces, and campus initiatives supporting student and employee success.
  • Participate in professional development and service opportunities.
  • Perform additional duties as assigned.

Required Qualifications:

  • Bachelor's Degree in Accounting, Finance or related field and 1 year of experience in a Finance-related function
  • OR
  • An Associate's Degree and 5 years of experience managing finance-related aspects of IT operations
  • OR
  • 10 years of professional office experience, at least five years of which were managing finance-related aspects of IT operations
  • Proficient in PeopleSoft Financials, Workday Financials (or an equivalent ERP solution) and Microsoft Excel
  • Effective and polished verbal and written communication skills
  • Ability to work effectively with a wide range of customers and a focus on diversity, equity, and inclusion
  • Reflect a positive, high-energy, and professional demeanor
  • Demonstrated ability to work well on and improve the performance of a team
  • Demonstrated ability to prioritize and deliver according to deadlines while handling multiple tasks, ability to exercise judgment, handle confidential information, and function with minimal supervision
  • Demonstrated excellent organizational abilities and attention to detail
  • Applies principles of logical thinking to a wide range of intellectual and practical problems
  • Ability to travel between campuses as needed
  • Proven ability to work effectively and constructively with persons of diverse cultures, language groups, and abilities; demonstrate sensitivity to and ability to work with the diverse academic, socioeconomic, cultural and ethnic backgrounds of community college students, faculty, and staff, including those with disabilities; establish and maintain effective working relationships with those contacted in the course of work.

  • Familiarity with NIGP and CLC Board procedures
  • Higher education experience, ideally in a community college setting
  • An innate focus on students and their success

  • Ability to manage projects as needed.

Work Schedule:

Typical hours are 8:00am - 4:30pm Monday - Friday

Pay:

$25.42/hour
