Job Summary:

The College of Lake County is currently searching for an Office Associate to join the TRiO-Student Support Services. Under the supervision of the TRIO-Student Support Services Manager, the Office Associate provides office support to TRIO-SSS Manager, program staff and students. The Office Associate is the first point of contact for students and visitors, maintains office files up to date, assists with budget status and expenditures, organizes travel documents, and assists with arranging meetings and program events.

Regular Part-Time Board established positions earn Vacation and Sick Leave and Tuition waiver for CLC classes and Tuition Reimbursement for advanced degrees. In addition, employees are eligible to participate in the State University Retirement System (SURS) .

Job Description:

Student/Customer Service  20%                          
1. Maintains a welcoming environment for students, program staff, College of Lake County employees, and visitors.
2. Answers phone calls for the office, department emails, and responding to any in-person inquiries for the program and referring to appropriate offices for assistance.
3. Schedules appointments based on requests from students and staff.

Department operations/processes  65%                        
1. Assists with correspondence for the department and staff, including composing letters on behalf of the Program Manager.
2. Maintains office files, supplies, and office records up to date and organized, including ordering supplies as needed.
3. Updates student monitoring database and assists with annual program evaluation process
4. Assists in the planning, coordination, and implementation of student and staff travel.
5. Records and monitors expenditures for the program including assisting with budget reports.
6. Arranges all aspects of meetings and program events including scheduling rooms.
7. Assists with training new staff members and student employees
 
Other 15%                                       
1. Assists with planning and organizing program projects and events.
2. Participates in program and department meetings.
3. Maintains department website, SharePoint site, and assists in creating PR materials.
4. Performs other duties as assigned by the Program Manager.

Required Qualifications:

 A high school diploma or equivalent.   A minimum of two years of office support or related experience.  Excellent oral and written skills.  Knowledge of and working ability with computer software and data (Microsoft Word and Excel).  Firm commitment to inclusion, diversity, excellence, unity, and purpose as it relates to all functions of TRIO-SSS in promoting student success and satisfaction   Ability to work effectively and constructively with persons of diverse cultures, language groups, and abilities; demonstrate sensitivity to and ability to work with the diverse academic, socioeconomic, cultural and ethnic backgrounds of community college students, faculty, and staff, including those different abilities; establish and maintain effective working relationships with those contacted in the course of work. 

Desired Qualifications:

Associates Degree  Awareness of low-income first generation college students.   Bilingual (English and Spanish).   Experience with social media platforms.
