Position Description

The position-holder provides operational support for faculty development initiatives across campus. Housed in the Center for Faculty Development, the position-holder is responsible for coordinating the planning, promotion, and successful implementation of all Center events and services, including the high-profile New Faculty Institute program, and providing essential administrative support for co-sponsored faculty development efforts in other areas of campus. Other areas of responsibility include developing and tracking Center timelines and projects, collecting and reporting complex and confidential data, and managing Center budgets.

ESSENTIAL FUNCTIONS:

20% Event and Program Coordination.
  • Management of communication processes and digital registration.
  • Serving as the liaison and coordinator of various workshops, seminars, and other programs and functions for internal communities.
  • Coordinating with multiple facilitators outside the Center in organizing co-sponsored events.
  • Event scheduling, including rooms, technology, and catering coordination.
  • Technological facilitation of complex online event sessions.
  • Producing and formatting promotional materials, web materials, and paper handouts.
  • Coordinating with Human Resources, departmental, college/school offices to develop and update mailing lists.
  • Negotiating contracts with external vendors for the Center's periodic retreats or other off-site events.

20% New Faculty Institute (NFI) Program Coordination.
  • Collaborating with the Center's Director and Associate Directors in organizing this high-profile, university-wide program for approximately 50 new full-time faculty.
  • Representing the university as the first non-contractual point of contact for new faculty.
  • Coordinating and communicating with more than 40 presenters and stakeholders, including the President, Provost, and SU's Jesuit
  • Community, as well as faculty and student panelists.
  • Developing and tracking program timelines.
  • Creating and maintaining an online resource hub for participants.
  • Creating and updating detailed SU faculty resource materials.
  • Organizing meetings of the university-wide NFI Planning Team of faculty members; includes developing agendas and taking minutes.
  • Managing program variables to ensure diverse representation.
  • Reserving rooms, technology, and catering, as needed.
  • Tracking and reconciling the NFI budget.
  • Liaising with Human Resources to generate invitations on behalf of the Provost's Office
  • Managing registrations and addressing both internal and external inquiries.
  • Purchasing books and supplies via university procurement systems.
  • Day-of event coordination involving room, signage, and technology set-up, welcoming faculty and presenters to event, coordinating with the SU photographer, and distributing materials.
  • Technological facilitation of complex online event sessions.
  • Coordinating follow-up events with the University Counsel's Office and with past members of the University Rank and Tenure Committee.

20% Data Management and Analysis.
  • Creating surveys via Qualtrics for the collection and management of registrations, sessions evaluations, faculty feedback, and other Center-related data needs.
  • Managing the Center's custom-designed FileMaker Pro relational database and providing statistical and informational reports.
  • Analyzing collected qualitative and quantitative data.
  • Creating charts and figures for annual report
  • Managing and updating the Center's lending library system through a Center-specific library database.

15% Financial Management.
  • Coordinating with other departments to co-fund events and services.
  • Processing invoices, receipts, stipend payments, budget transfers, and purchase orders for internal budgets.
  • Tracking expenditures and reviewing budget updates in InformSU.
  • Reconciling budgets, resolving financial discrepancies, and forecasting expenditures on a monthly basis.


10% Office Management and Coordination.

  • Leading weekly Center meetings, including agenda development.
  • Complex scheduling, liaising, and calendar management on behalf of the Director and Associate Directors. Other support for the
  • Director and Associate Directors, as needed.
  • Drafting, editing, and proof-reading documentation and communications, for multiple audiences with divergent priorities and needs.
  • Designing and managing websites via the university's content management system.
  • Providing technical assistance and coordinating more complex assistance with IT Services.
  • Coordinating annual reporting process.
  • Making travel arrangements on behalf of Center staff.
  • Arranging and receiving guest speakers.


10% Meeting Coordination and Committee Staffing.
  • Scheduling stakeholder and committee meetings, including rooms, technology, and catering coordination.
  • Developing agendas, taking minutes, and distributing materials.
  • Maintaining committee websites/databases and member lists.

5% Academic and research support.
  • Proof-reading and technical copy-editing for academic and internal publications, including using APA and Chicago style guides.
  • Supporting research through reviews of academic literature, peer institutions, other centers.

Marginal Job Functions:

  • Maintaining office supplies, filing systems, storage, and documentation, and other duties as assigned.


Qualifications

  • Bachelor's degree or some college with four or more years of progressively responsible clerical experience or an equivalent combination of education and experience.
  • Highly organized and detail-oriented.
  • Ability to communicate effectively by telephone, in person, and via written communication.
  • Ability to work independently with little supervision, as well as on team-oriented projects.
  • Ability to interact with diverse groups of people with a professional demeanor and to manage confidential information.
  • Ability to successfully complete an online computer skills assessment administered by the Office of Human Resources.
  • Software in the assessment includes: MS Word, MS Excel, and MS PowerPoint. In addition, ability to manage e-mail and scheduling software via MS Outlook and to update websites using a content management system.

Preferred qualifications:

  • Experience managing a database with Filemaker Pro.
    Strong writing and editing skills, with experience of academic research and referencing styles.

Compensation at a Glance

Salary Range: $45,000 - $53,500

Seattle University has provided a compensation range that represents its good faith estimate of what the University may pay for the position at the time of posting. The salary offered to the selected candidate will be determined based on factors such as the qualifications of the selected candidate, departmental budget availability, internal salary equity considerations, and available market information, and not based on a candidate's gender or any other protected status.
