Job Summary
The Spencer Fox Eccles School of Medicine at the University of Utah Office of Admissions plays a dynamic and impactful role in shaping the future of healthcare by supporting the medical school admissions process. As a key member of the Office of Admissions, the Coordinator supports daily operations, facilitates communication with applicants and campus partners, and ensures a smooth and inclusive admissions experience. From coordinating interviews and recruitment events to supporting data reporting and applicant engagement, this role is ideal for individuals who are detail-oriented, thrive in a fast-paced environment, and are passionate about higher education and student development.

Responsibilities
- Oversees daily operations and coordinates activities related to the medical school admissions process and applicant engagement.
- Implements admissions goals and objectives in alignment with institutional priorities and accreditation standards.
- Monitors the quality and effectiveness of admissions processes and recommends improvements based on data and best practices.
- Advises prospective students, applicants, and community members on admissions policies, procedures, and timelines.
- Prepares reports and data summaries on admissions trends, applicant demographics, and program outcomes for leadership and external agencies.
- Drafts and edits admissions-related publications, promotional materials, and communications for prospective students.
- Supports the full application cycle, including logistics, communications, and coordination with reviewers and interviewers.
- Provides administrative support to admissions leadership, including scheduling, meeting coordination, and project tracking.
- Supports staff and community members involved in admissions interviews, recruitment events, and applicant programming.
- Assists with student success initiatives, including special case management and coordination of support services.
- Coordinates office operations such as supply ordering, maintenance requests, and general administrative tasks to ensure smooth daily functioning.
- May assist with budget tracking, payroll processing, and other operational support functions.
- Helps plan department activities, manage calendars, and arrange travel for admissions-related events and conferences.
- Maintains secure and organized records, ensuring compliance with institutional policies and data privacy standards.
- Remains current on admissions policies, medical education trends, and best practices in holistic review and applicant support.
- Performs other duties as assigned to support the admissions and student affairs teams.

Minimum Qualifications
Bachelor's degree in a related field or equivalency (one year of education can be substituted for two years of related work experience), plus one year of directly related experience
Demonstrated ability to work independently, analyze and make decisions related to program content. Strong coordination and organizational skills required to prioritize conflicting deadlines. Demonstrated human relations and effective communication skills are also required.

Preferences
- Comfortable with working in a hybrid model; able to perform successfully remotely and in-person
- Proficient in Microsoft Office, Zoom, Teams, and Google Workspace, with the ability to learn new software programs quickly
- Excellent interpersonal and communication skills, both oral and written
- Strong writing skills - must be in the habit of proofreading documents and emails for spelling, grammar, content, and clarity before disseminating
- Exceptional organization and time management skills with extreme attention to detail
- Demonstrated ability to establish priorities, manage shifting priorities, and handle numerous time-sensitive projects with multiple deadlines
- Demonstrated experience working independently and as part of a team
- Experience planning and/or coordinating events and programs

Work Schedule Summary: Monday - Friday, business hours. This position is expected to work remotely initially, at which point this position will transition to a hybrid role, requiring regular onsite presence at 26 2000 E, Salt Lake City, UT 84113 (tentatively planned for Spring 2026).
