Position Announcement
Utah Valley University is seeking an Admin Support III - Applied Engineering and Transportation Technologies.
Under the general direction of the Applied Engineering and Transportation Technology Chair, performs and/or oversees a variety of associated administrative, fiscal, staff support and planning activities, some of which require advanced or specialized knowledge and skills such as budget administration, facilities scheduling, class scheduling, inventory control, specialized recordkeeping, and/or specified information gathering projects and tasks. Coordinates and facilitates meetings, program functions, and/or special events, as appropriate. Trains and oversees lower graded staff and/or students. Must work weekends on occasion as necessary, including evenings, and holidays.
Summary of Responsibilities
- Performs advanced and confidential administrative support duties, including composing routine correspondence, meeting minutes, financials, and obtaining factual information requiring knowledge of policies/procedures of assigned and work related areas.
- Informs students, faculty, and public of departmental and university services available and answers incoming requests for information.
- Coordinates the preparation and submission of various reports, including timecards, PAFs, ESAFs, new hire paperwork completion and submission, requisitions, purchase orders, travel requests, index tracking and reconciliations, budget balances, etc. Establishes, updates, and maintains files, inventories, ordering, receiving, billing, distributing, and reconciling expenditures. Coordinates the payroll process, including preparation, submitting, monitoring, and maintaining payroll records.
- Maintains inventory of office equipment and supplies and administers other office duties as needed, which may include supervision of office support.
Qualifications / Licenses / Certifications
Standard high school diploma or equivalent plus four years of previous administrative experience with related key roles and responsibilities is required.
Preferred Qualifications
- Knowledge of the Engineering or Transportation industry, also with experience in education administration.
- Associate's degree in business administrative or other administrative field.
Event planner experience.
Knowledge / Skills / Abilities
- Knowledge of best practices in events, marketing communications, correspondence.
- Skill in office methods, techniques, practices, and procedures.
- Skill in the use of computers and computer software applications, including word processing, spreadsheets, email, internet, databases, and presentations.
- Skill in the preparation and interpretation of reports, charts, graphs, and tables.
- Strong interpersonal, problem-solving and decision-making skills.
- Exceptional customer service orientation and phone etiquette.
- Maintain confidentiality at all times.
- Perform a variety of administrative support duties with minimum supervision.
- Follow oral and written procedures and instructions.
- Communicate effectively, verbally and in writing.
- Must meet and deal with people of diverse backgrounds.
- Maintain confidentiality of highly sensitive information. Must demonstrate professional demeanor and poise.
