Under general supervision, the Accounting Technician supports the financial operations of the Pasadena City College Foundation, a non-profit organization, by classifying, recording, and maintaining accurate financial data. This role ensures the timely and accurate processing of transactions and supports the integrity of the Foundation's accounting records.

The Accounting Technician performs paraprofessional work in areas such as bookkeeping and accounts payable. Responsibilities include compiling financial records, preparing disbursement request forms, and managing online purchases for the Foundation.



EXAMPLE OF DUTIES:

  1. Prepares disbursement request forms and check PDFs and routes them for signatures
  2. Prints and distributes checks and files in the shared drive
  3. Processes online purchases and records transactions in debit log
  4. Prepares monthly debit transactions disbursement form and routes for signatures.
  5. Prepares bank deposits by compiling data, verifying and balancing receipts, and sending cash, checks, or other forms of payment to banks.
  6. Reviews and updates the annual Blackbaud Award Management cycle.
  7. Monitors and updates student loan files in the Stand A Loan module of the Educational Computer Systems, Inc system.
  8. Reviews figures and documents for correct entry, mathematical accuracy, and proper coding.
  9. Classifies and records numerical and financial data to compile and keep financial records.
  10. Prepares purchase requisitions.
  11. Calculates, prepares, and issues invoices to the District for reimbursable expenses.
  12. Monitors and updates fund files (hard and digital copies) and fund files log.
  13. Records third party checks in check log and files scanned copies in student files.
  14. Contacts Financial Aid and/or students regarding third party any checks questions.
  15. Performs related duties as assigned.





MINIMUM QUALIFICATIONS:

  • A High School Diploma, the equivalent, or higher.
  • Two years of experience working in fiscal/financial services.


DESIREABLE QUALIFICATIONS:
  • An associate degree, or higher, in Accounting, or a related field such as Business or Finance.
  • Three years of experience working in fiscal/financial services.

KNOWLEDGE, SKILLS, AND ABILITIES - May be representative, but not all-inclusive, of those knowledge, skills and abilities commonly associated with this position.

KNOWLEDGE:
  • Understanding of basic accounting and bookkeeping principles for recording and managing financial transactions.
  • Familiarity with the practices and terminology involved in maintaining accurate financial and statistical records.
  • Knowledge of the regulations that govern the preparation and submission of tax-related documents.
  • Familiarity with procedures related to cashiering, including handling and processing cash transactions.
  • Understanding of systems and procedures for verifying cash and managing cash flow.
  • Knowledge of the District's fiscal policies to ensure compliance in financial transactions.
  • Understanding of customer service principles to effectively assist District staff and stakeholders.
  • Familiarity with ERP systems for entering and accessing financial information.
  • Knowledge of standard office software and equipment for developing reports and communicating with staff.
  • Proficiency in organizing and managing records with precision.
  • Competence in performing complex financial calculations quickly and correctly.
SKILLS:
  • Proficiency in basic math and financial calculations, such as interest, balances, and discounts.
  • Strong communication skills for conveying information clearly and effectively.
ABILITIES:
  • Ability to apply knowledge of bookkeeping, basic mathematics, and financial record-keeping to accurately record and process transactions.
  • Capability to efficiently use ERP software to enter and access financial data, and to answer queries related to specific accounts.
  • Demonstrated experience working with communities who have been traditionally underserved by higher education and experience in the pedagogy reflecting intersections of race, culture, class, ethnic, and queer communities.
  • Ability to perform basic accounting tasks with accuracy and efficiency.
