Overview
The salary range for this position is $21.24 - $25.28 per hour depending upon qualifications and is non-negotiable.

The Wendy Gillespie Center for Advancing Global Business (WGC), Corky McMillin Center for Real Estate (TCMCRE), and Hostler Institute on World Affairs each play pivotal roles within the Fowler College of Business at SDSU. These centers provide critical academic, research, and industry engagement opportunities to students, faculty, and business professionals. The Wendy Gillespie Center for Advancing Global Business supports international business education, research, and industry collaboration through programs such as SDSU CIBER and the Charles W. Hostler Institute. The Corky McMillin Center for Real Estate enhances the academic and career opportunities of real estate students, supporting their growth as "Day 1" ready professionals. The Hostler Institute on World Affairs promotes global awareness through speaker series and scholarships, advancing SDSU's global engagement.

Under the Managing Director of the Wendy Gillespie Center, the Administrative Support Coordinator II will provide comprehensive administrative, event, and student support across all three centers. This individual is essential to the coordination of program activities, industry events, and board engagements while providing vital communication, marketing, and operational support.

Administrative Support Coordinator II role is a full-time, non-exempt position.


Responsibilities
Under the Managing Director of the Wendy Gillespie Center, the Administrative Support Coordinator II is responsible for, but not limited to:

Administrative Support (45%):
  • Provide administrative and accounting support to three Centers, including processing disbursement requests and travel claims, prepare budgets and purchase requisitions. May train and manage student personnel.

Student Support (10%):
  • Coordinate internships, scholarships, and events; interface with students and provide career development resources; maintain a database of recent graduates.
  • Work with student clubs to update/inform/engage students about the centers' programs.

Advisory Board Support (10%):
  • Arrange and attend board and committee meetings, create, and distribute meeting minutes, and respond to board member inquiries.

Marketing and Industry Engagement (10%):
  • Provide content for and manage the centers' websites. Organize marketing collateral, newsletters, and promotional materials. Support social media and marketing efforts.

Event Planning and Production (20%):
  • Organize events by managing logistics, budgeting, venue coordination, and catering. Oversee event setup, cleanup, and follow-up.
  • Manage event invitations, sponsorships, event budgets, and speaker coordination.
  • Assist with organizing and hosting speaker series events, including logistics, venue arrangements, and budget management.

Qualifications
Minimum Education
  • High school diploma or equivalent
Minimum Experience
  • 6 years of progressively responsible experience in an office or administrative environment
Knowledge and Abilities
  • Strong proficiency with Microsoft Office (Excel, Word, PowerPoint) and Google Workspace
  • Fundamental written and oral communication skills, including a sound foundation in English grammar, spelling, and punctuation
  • Ability to understand standard office procedures; to operate standard office equipment; to learn office technology systems; to perform basic arithmetic calculations; and typing and keyboard skills
  • Ability to interact effectively with co-workers, clients and study participants
  • Ability to understand and follow posted work rules and procedures
  • Ability to relate well to others within the project environment
  • Ability to display motivation and strong interpersonal skills
  • Ability to communicate effectively, both orally and in writing
  • Ability to display organization, meet deadlines, display detail orientation, possess good judgment and common sense

PREFERRED QUALIFICATIONS AND SPECIAL SKILLS
  • Bachelor's degree or equivalent in a related field
  • Marketing and event planning experience
  • Oversight and student training experience
  • Proficient in Canva and Google Workspace
