Position Information
Hiring Department: Office of Financial Aid
Posting End Date: Open until filled. This posting may close once a sufficient number of qualified applications have been received.
Hours: 40 hours per week, standard Monday- Friday 8:00am- 5:00pm, flexibility is required on evenings and weekends.
FLSA status: Exempt.
Earliest Start Date: As soon as possible.
Salary: $58,000 Annually

The primary accountabilities are intended to describe the general content of and requirements of this position and are not intended to be an exhaustive statement of duties. This position is security-sensitive and subject to Texas Education Code 51.215, which authorizes the employer to obtain criminal history record information. A valid driver's license issued by the State where the applicant resides, and insurability as defined in UTS 157 may be required to perform the position's essential functions.
Purpose of Position
Implements and exercises functional authority for planning, organization, control, integration, and completion of projects within area of assigned responsibility.
The Assistant Director of Financial Aid Student Engagement is an integral part of the Office of Student Financial Aid and Scholarships (OSFA) department. The OSFA is responsible for the administration of all sources of student financial aid in a manner that provides an outstanding customer service experience. This position will work diligently to ensure that students and families are informed about the financial assistance available to attend UTEP, including information about all federal, state and institutional financial aid programs.
The Assistant Director will also be responsible for projects or initiatives that have a defined scope, moderate levels of complexity and external visibility, an require autonomous (independent) execution. As part of a team, the Assistant Director will assist with the administration of the University's financial aid programs and policies for undergraduate, graduate, and doctoral students. The ability to counsel and communicate complex financial information to students and their families is essential.
Essential Functions
- Assists with administering all financial aid programs and ensures compliance with federal, state, and institutional rules, regulations, and requirements.
- Responsible for directly supervising the Student Financial Aid Advisors and ensuring that staff provides outstanding customer service to students, fellow colleagues, and Federal and State entities.
- Oversees the day-to-day student engagement operations of the Office of Financial Aid and Scholarships, advising and assuring the utilization of consistent customer service approaches and techniques.
- Counsels and educates continuing students, prospective students, and their respective family members as it relates to financial aid eligibility. Provides information pertaining to financial aid application procedures and financial opportunities available to students, as well as one-on-one counseling of students regarding financial aid.
- Participates in campus- and community-wide outreach activities, events, and efforts.
- Creates and presents financial aid presentations, both on and off campus.
- Review detailed financial documents and verification forms, including tax returns, for the accuracy of reported information.
- Maintain quality control over various reports.
- Assists with determining student awards based on computed financial need and other factors, adjusting budgets and packages based on special circumstances. May evaluate professional judgment cases.
- Helps students by facilitating solutions and resolving complex issues regarding their financial aid package, verification, satisfactory academic progress, or other financial aid concerns.
- Assists the Director of Financial Aid Student Engagement with staff development, training, and implementing new police/procedures related to external and internal regulatory changes.
- Participates in various committees, professional training, industry conferences, and conventions.
- Performs and assists with various special projects as needed including the scheduling for various activities/needs.
- Knowledge of all Microsoft Office software and able to learn and use institutional software systems.
- Complies with all State and University policies.
- Other duties may be assigned.
Qualifications
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.
Required Qualifications:
Education: Bachelor's Degree.
and
Experience: Three years of related experience and/or training to the essential duties and responsibilities; or equivalent combination of education and experience. Some traveling required.
The candidate must have access to several federal databases. To be granted access and clearance to these federal systems, the incumbent cannot be in default on any type of federal student loan.
Preferred Qualifications:
- Master's Degree in Business, Finance, Education, Public Administration, Social Sciences or related field.
- Bilingual in Spanish.
- Two years of supervisory experience of full-time employees (including, but not limited to, onboarding, training, coaching, and evaluating).
- Front desk and/or phone system experience.
- Experience with Banner, Image Now/Perceptive Content, and TEAMS preferred.
Knowledge, Skills & Abilities
- Three years of successful experience in higher education financial aid.
- Successful track record of working with diverse student populations in a positive manner. Sensitive to cultural diversity and ability to communicate and interact effectively with people of all ages and identities.
- Excellent communication skills, including the ability to exercise tact, empathy and discretion when dealing with students, families, staff, and faculty.
- Expertise in advising and working with students individually, ability to provide excellent customer service in difficult situations.
- Demonstrated ability to set priorities, manage time and workflow and to manage multiple, concurrent high priority projects in a time-pressured environment.
- Strong organizational skills.
- Demonstrated analytical and quantitative skills, solid judgment.
